Who We Are Looking For:
We’re seeking an enthusiastic and detail-oriented Project Planning Coordinator to provide crucial administrative support and coordination to produce successful events. The ideal candidate is highly organized, collaborative and adaptable. Previous experience with event-related project management is preferred.
This position will be open for a minimum of two (2) days and will remain open until filled. Applications will be accepted on an ongoing basis until the position is closed.
What Your Day Could Consist Of:
  • Supporting event planning through administrative functions such as scheduling meetings, ordering and organizing supplies/equipment, creating presentations, task coordination and follow up.
  • Interpreting data from multiple sources in multiple formats to create concise information.
  • Researching commodities and vendors, presenting findings with recommendations for selection.
  • Utilizing Populous software systems for project work planning and project budgets and performing budget analysis and tracking.
  • Tracking and managing vendor and consultant agreements, ensuring correct invoicing and payments coordination.
  • Coordinating accreditation information and supplies for event groups and staff.
  • Preparing and submitting expense reports, making travel arrangements, and managing other project correspondence and documentation.
Requirements For Success:
  • Detail-oriented and organized with proven track record of efficient time management across multiple projects.
  • Maintains a courteous and professional attitude.
  • Proficiency in MS Office; advanced understanding of Excel/database relationships and Smartsheet is a plus.
  • Technical acumen –quick to pick up new tools/software/platforms
  • Excellent written and verbal communication skills.
  • Proven ability to be flexible, adaptable, and maintain composure when managing shifting priorities, project requirements, demands, and timelines.
  • Ability to work effectively both independently and in a team-oriented, collaborative environment.
  • Demonstrated ability to identify areas for process improvement and take initiative to implement solutions that enhance efficiency and effectiveness.
Essential Qualifications:
  • Bachelor’s or associate degree is preferred but not required.
  • Previous experience with event-related project management is preferred.
Additional Details:
  • This position requires a blend of office-based and on-site event execution. While much of the planning occurs in a seated, computer-based environment, candidates must be physically capable of traveling to venues, conducting site walkthroughs, and supervising event setup.
  • This role includes standing and walking for extended periods and occasionally lifting items up to 25 pounds.
  • Evening and weekend hours are common, based on event schedules.

Compensation:
  • The projected salary range for this opportunity is $57,209 - $68,651 annually.
In accordance with Colorado law, the posted salary range represents a good faith estimate of the compensation for this position. Final compensation will be determined based on experience, skills, and qualification. This position may also be eligible for additional compensation, including bonuses. A comprehensive benefits package is available for this position.
