What is a music associate?

Music Associates are professionals who support the music department in organizations such as orchestras, theaters, broadcasting companies, or academic institutions. Their responsibilities often include assisting with music selection, organizing sheet music, coordinating rehearsals, and supporting the music director or conductor. They may also handle administrative tasks, manage music libraries, and help with scheduling musicians. Music Associates play a key role in ensuring that musical performances and events run smoothly.

What are the key skills and qualifications needed to thrive as a music associate?

To thrive as a Music Associate, you need a solid background in music theory, performance, and audio production, often supported by a relevant degree or equivalent experience. Familiarity with digital audio workstations (DAWs), music notation software, and sound editing tools is commonly required. Strong organizational skills, attention to detail, and effective communication help you collaborate with artists, producers, and technical staff. These skills ensure the seamless execution of music projects and support the creative process in fast-paced production environments.

What types of collaborations are common for a music associate, and how do these impact daily responsibilities?

Music Associates frequently collaborate with music directors, performers, production staff, and sometimes composers, depending on the setting. These collaborations often involve tasks like preparing sheet music, coordinating rehearsals, managing music libraries, and assisting with soundchecks. Working closely with different departments means that adaptability and strong communication are essential, as priorities can shift rapidly, especially during live performances or recording sessions. This team-oriented environment offers valuable learning opportunities, as Music Associates are exposed to various aspects of music production and performance, which can support career advancement into roles like music director or arranger.

Job description

Music & Arts is the nation’s leading partner in K–12 music education.
In this seasonal role, you’ll help bring school instrument rental events to life across your area. Working with our Education Account Managers, you’ll pitch in with event set-up, prep, and checklists—and when families arrive, you’ll be right there to welcome parents and students who are just getting started. You’ll answer questions, help them choose what they need, and complete rentals quickly using simple mobile/tablet tools.

Essential Functions (not all-inclusive)

  • Help set up and break down rental events at schools (tables, signage, and event flow).
  • Load, unload, and move instruments and supplies; lift and/or move up to 50 pounds.
  • Prep inventory and paperwork before events (tagging, checklists, basic documentation).
  • Greet parents and students, answer questions, and help families get started with the rental process.
  • Use mobile/tablet tools to reserve inventory, complete rentals, and support order fulfillment during events.
  • Communicate clearly and professionally with Education Account Managers, teammates, parents, students, and occasionally school staff.
  • Travel to/from assigned prep location(s) and school event location(s) within the assigned marketplace. Prep work may occur at Music & Arts warehouses, storage facilities, and/or retail stores.
  • Complete required training and support other tasks as assigned.

To join our band, you'll need the following experience:

  • High School Diploma or equivalent
  • Proficiency with MS Office (Outlook, Excel, Word)
  • Valid state driver’s license and automotive insurance
  • Must be able to lift and/or move up to 50 pounds
  • Must be able to work a flexible schedule including evenings
  • Must be able to read, write, speak, and comprehend English

Preferences

  • Bilingual (English/Spanish): fully fluent—able to communicate clearly and confidently with families in both languages during live events (in-person and virtually), including answering questions and resolving issues in real time.
  • Intermediate knowledge of band and orchestral instruments

About Music & Arts

Music & Arts embodies the world of creativity and music by encouraging our teammates to find their own individual sound. We strive to create lifelong musicians and make a difference in the world by enabling musicians and non-musicians alike to experience the almost indescribable happiness that comes from playing an instrument. We believe in putting our customers first, engaging with respect and integrity and fulfilling our mission with passion.

The first Music & Arts was located in a small house in Bethesda, MD and run by founder Benjamin O'Brien. When Music & Arts opened its doors in 1952, we offered printed music, music lessons, dance lessons, and art supplies. Ben decided shortly after opening his business that he wanted to focus on music to better serve his customers -- a decision that remains intact to this day.

Since the 1990's, Music & Arts has expanded nationwide through organic growth and a series of acquisitions and mergers with other music dealers. In 2005, Music & Arts joined forces with American Music to become the largest band and orchestra instrument retailer in the United States. Based in Frederick, MD, Music & Arts is now part of the Guitar Center enterprise and comprises 225+ retail stores, 200+ educational representatives, and 250+ affiliate locations.
