\r\n\r\n\r\nTHE AGENCY\r\n\r\n\r\n\r\nThe Alameda County Community Development Agency's mission is to enhance the quality of life of Alameda County residents and plan for the future well-being of the County's diverse communities; to balance the physical, economic and social needs of County residents through land use planning, environmental management, neighborhood improvement, and community development, and to promote and protect agriculture, the environment, economic vitality and human health.\r\n\r\n\r\n\r\n\r\n\r\n\r\nFor more detailed information about the agency, please visit:Alameda County Community Development Agency.\r\n\r\n\r\n\r\n\r\nTHE POSITION\r\n\r\n\r\nThis series specification describes three secretarial classes in which incumbents perform, under general supervision, a wide variety of difficult to complex secretarial and clerical duties; relieve an administrator of administrative details; and perform other related duties as required. \r\n\r\nDISTINGUISHING FEATURES \r\n\r\nPositions allocated to classes in this series are distinguished from positions in general and specialized clerical classifications in that incumbents in secretarial classes report directly to a County administrative official and have assigned responsibility for relieving him/her of administrative details. \r\n\r\nSecretary II positions perform secretarial work for an administrator who has authority over a department or division of more than 150 employees; or if there are fewer than 150 employees, performs secretarial work that includes at least one of the following: \r\n\r\nl. Coordinating agenda preparation and scheduling meeting activities of a regulatory County Board or Commission. \r\n\r\n2. Serving as secretary to an administrator reporting directly to the head of an agency or department who warrants an Administrative Secretary. \r\n\r\n3. Serving as a secretary to the head of a department, which department head reports directly to the electorate, the Board of Supervisors, or the County Administrative Officer. \r\n\r\n4. Serving as secretary to a group of Municipal Court Judges who report to the electorate. \r\n\r\n5. Reporting to and performing secretarial-administrative duties for an administrator who is privy to the decision-making process of County management affecting employee relations.\r\n\r\n

MINIMUM QUALIFICATIONS

Either I \r\n\r\nThe equivalent of one year of full-time experience in the class of Secretary I, or an equivalent or higher level clerical class in Alameda County classified service, that requires a typing proficiency level of not less than 40 wpm. (Non-classified includes District Attorney's Office, Hospital Authority, and the Consolidated Courts.) \r\n\r\nOr II \r\n\r\nThe equivalent of three years of increasingly responsible clerical experience comparable to the County's Secretary I classification, that requires a typing proficiency level of not less than 40 wpm. \r\n\r\nNOTE: The Civil Service Commission may modify the above Minimum Qualifications in the announcement of an examination.\r\n\r\n

KNOWLEDGE AND SKILLS

NOTE: The level and scope of the following knowledge and abilities are related to duties listed under the "Examples of Duties" section of this specification. \r\n\r\nKnowledge of: \r\n\r\n Modern office practices and procedures, including business correspondence, record keeping systems, and standard office equipment operations. \r\n Correct English usage, including spelling and grammar; business letter writing and proper format for typed materials. \r\n Word processing and/or spreadsheet applications. \r\n Principles of managing and coordinating secretarial aspects of a large or complex program. \r\n Organization and functions of County government. \r\n\r\nAbility to: \r\n\r\n Perform difficult clerical work involving independent judgment; type with speed and accuracy at not less than 40 words per minute. \r\n Prepare clear and comprehensive reports; draft, compose and edit correspondence from brief oral or written instructions, using word processing applications. \r\n Speak clearly and concisely to obtain and relay information. \r\n Maintain personnel and other record files. \r\n Identify and correct errors in English usage, grammar, and mathematical calculations in a variety of documents. \r\n Organize and prioritize work load; complete work under time deadlines. \r\n Learn to interpret and apply laws, rules, and written directions to specific situations. \r\n Establish and maintain effective working relationships with co workers and the general public. \r\n Assist in devising and keeping office records of a confidential nature; maintain confidentiality. \r\n Evaluate demands on an Administrator's time; arrange his/her schedule accordingly. \r\n Work with officials and the general public in routine, emergency, and emotional situations. \r\n Take responsibility and use good judgment in recognizing scope of authority. \r\n\r\nSELECTIVE CERTIFICATION CRITERIA \r\n\r\nSome positions require the ability to take shorthand at a speed of not less than 80 words per minute and transcribe it accurately via shorthand or dictation recording equipment.\r\n\r\n
