Job Title: Admin Assistant
Location: 555 Mission St, San Francisco
Work hours: Mon through Fri; 40 hours per week, 7:30am-3:30pm
Reports to: Executive Assistant for Equities
Desired Years of Experience: 0-3 years
Desired Education: BS/BA or equivalent required.
Job Summary:
The Administrative Assistant is responsible for providing workplace services and administrative support to increase individual well-being, personal productivity, and organizational effectiveness.
Duties/Responsibilities:
  • Greet guests in the office and on the phone and making them feel welcome.
  • Order catering for conferences and meetings, reserve conference rooms, set up and clean up catering.
  • Schedule meetings and assist with video conferencing needs in the office.
  • Point person for the building maintenance, mailing, shipping, supplies, equipment, bills, and errands.
  • Schedule vendors for maintenance and repairs.
  • Maintain inventory of office supplies and order as needed.
  • Stock pantry/kitchen with all necessary supplies and ensure all items are consistently replenished.
  • Partner with Equities EA to maintain and communicate office updates as necessary.
  • Book travel and process expense reports for all of Equities investment teams.
