Job Summary:

Thie Office Assistant position provides general administrative assistance and operational support for the office and operations department. This includes but is not limited to assisting the Administrative Assistant with various front desk/receptionist duties and Lumber Sales Representative with processing delivery picking tickets (SO4s) and SAP inventories and reports. Assist operations department with compiling daily/weekly operational reports and assist with completing inventory audit counts when needed.  All Woodgrain employees will be expected to exemplify our core values and put Safety Above All.

Duties & Responsibilities:

  • Assist with handling general front desk customer service duties by greeting customers, answering phones and directing calls.
  • Help scale in and out log, chips, dust, and mulch trucks. 
  • Assist with processing log inventories in Forestry system and fuel inventories in Phenox Fuel system.
  • Help direct trucks for chips, dust, and mulch deliveries.
  • Assist with reconciliation of mulch, chips, and dust inventory.
  • In absence of Administrative Assistant, process contractor weekly logger reports and logger weekly payments.
  • Assist completing daily/weekly operational reports.
  • Assist Lumber Sales Representative with processing delivery picking tickets (SO4s) and other SAP reports for shipments/deliveries.
  • Assist with completing monthly lumber inventory counts.
  • Perform general clerical duties such as data entry, typing, scanning, and filing.
  • Other duties as assigned by Plant Manager.

Requirements:

  • 2 to 4 years Office or Administrative experience preferred.
  • Experience with Microsoft Office – Word and Excel
  • Experience with SAP preferred
  • Effective time management and organizational skills
  • Ability to communicate professionally and effectively

The physical demands and work environment are representative of a typical sawmill environment. The employee is frequently exposed to moving mechanical parts. Noise level is moderate to high depending on the area of the mill. While performing the duties of this job, the employee is often required to stand; walk; sit; use hands to finger, handle, or feel objects, tools or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk and hear. Requires close vision, distance vision, and depth perception. The employee must occasionally lift or move up to 50 pounds and is regularly exposed to fumes, airborne particles, and extreme hot and cold temperatures.
