Job description

Summary or Purpose Responsible for the monitoring, tracking and dispatching of all 7i Datastream (Access Database for Search & Rescue ONLY) Maintenance Work Orders. Coordinate clerical and accounting activities within assigned department. Essential Duties and Responsibilities The following duties ARE NOT intended to serve as a comprehensive list of all duties performed by all employees in this classification.

Incumbent(s) may not be required to perform all duties listed and may be required to perform additional, position-specific duties. May provide perform day-to-day office activities; processes invoices for payment; assists with staff training programs.

Prepares and assembles reports; may prepare timesheets for employees and keep daily records of attendance. May coordinate and schedule travel arrangements, meetings and appointments. Assist with daily operations of Facility Maintenance or Equipment Maintenance Divisions.

Receive Service Requests and create Work Orders using 7i Datastream Software Application. Check on daily status of Work Orders. Distribute work to Facility Maintenance Specialist or Mechanic.

Contact vendors for quotes for parts and submit purchase requisitions to the Purchasing Division. Provide part list to Maintenance Management Information System (MMIS) division for Datastream. Keep accurate records of all work orders.

Complies and updates statistical information, reports and related documents (in Access Database for Search & Rescue ONLY). Perform other duties as assigned. Knowledge, Skills and Abilities Knowledge of North Slope Borough polices and procedures.

Knowledge of the principles of records management, fund accounting, and budgeting. Skill in using personal computers and a variety of common software applications. Skill in drafting and completing accurate reports, technical documents and correspondence.

Skill in working with analytical processess to provide management reports. Education, Experience, Certifications and Licenses Required High school graduate or G.E.D/or, a combination of 12 years of education and related work experience. Three years of combined office management, inventory control, work order maintenance, and account work experience; Six months working with the Maintenance Management Information System (Access Database or equivalent for Search & Rescue ONLY) application software; Ability to obtain a valid Alaska driver's license that meets North Slope Borough insurance criteria within the probationary period
