Job Overview

About the Position

Gulf Coast Mortgage of Naples is seeking an experienced, polished and highly organized Administrative Assistant / Front Desk Coordinator to join our established mortgage brokerage.

This is an important, highly visible position within our office. You will often be the first voice our clients hear and the first person they meet, so professionalism, warmth, good judgment and excellent communication skills are essential.

We are looking for someone who already has professional office experience, preferably within the mortgage, title, real estate, banking, insurance or legal industries. This is not intended to be a first professional position. Previous exposure to real estate transactions, closings, contracts, mortgage lending or title work is strongly preferred.

You do not need to be a mortgage expertโ€”we can teach our systems and processes. We do need someone who understands how to work in a professional, deadline-driven environment and can confidently interact with clients, Realtors, title companies, lenders and other industry professionals.

What You'll Do

  • Serve as the front desk point of contact and warmly greet clients, Realtors, vendors and other visitors.
  • Answer and direct incoming telephone calls professionally and confidently.
  • Assist with incoming emails, correspondence, mail and document distribution.
  • Provide administrative support to our mortgage loan originators and processing team.
  • Assist with scheduling appointments, meetings, closings, events and office activities.
  • Perform accurate data entry and maintain organized digital and physical records.
  • Prepare, proofread and organize correspondence, documents and presentations.
  • Assist with marketing projects, Realtor events, client communications and occasional social media/Canva projects.
  • Order office supplies and help maintain an organized, professional and welcoming office.
  • Handle confidential financial and personal information with discretion.
  • Communicate effectively with clients and industry partners regarding routine administrative matters.
  • Assist the team with special projects and day-to-day needs as they arise.

What We're Looking For

  • Previous professional office experience required.
  • Experience in mortgage lending, title, real estate, banking, insurance, legal or another transaction-based professional environment strongly preferred.
  • Excellent verbal and written communication skills.
  • Professional telephone presence and customer-service skills.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to prioritize multiple tasks and follow through without constant supervision.
  • Comfortable working in a fast-paced environment where deadlines matter.
  • Proficiency with Microsoft Outlook, Word and Excel.
  • Comfortable learning new software and technology.
  • Strong proofreading and data-entry skills.
  • Ability to maintain confidentiality and exercise good judgment.
  • Dependable, punctual and willing to take ownership of the position.
