What you will do

The Tax Administrator serves as the primary administrative and client service support resource. This position is responsible for delivering exceptional client service, coordinating tax workflow and deadlines, managing tax-related communications and documentation, supporting Partners and professional staff, and ensuring the timely processing, assembly, delivery, and tracking of tax returns and related client engagements.

Client Service & Communication

  • Provide exceptional customer service and serve as a primary point of contact for clients.
  • Answer telephone calls, route inquiries to appropriate personnel, and respond to routine client questions.
  • Meet and greet clients and visitors in a professional and courteous manner.
  • Schedule appointments, client meetings, conferences, and maintain Partner and departmental calendars.
  • Coordinate and schedule internal Tax Department meetings.
  • Communicate with clients regarding information requests, tax notices, engagement letters, tax organizers, e-file authorization forms, and other tax-related matters.
  • Maintain the Client Portal and provide ongoing client support regarding portal access and functionality.

Tax Administration & Compliance Support

  • Assemble tax return packages for client delivery, government filing, and electronic filing submissions.
  • Publish final tax returns and related documents to the Client Portal.
  • Prepare, process, distribute, and track tax engagement letters.
  • Process and mail year-end tax documents, tax organizers, engagement letters, and other tax-related correspondence.
  • Send annual tax organizers and monitor client responses.
  • Mail tax returns, notices, and other documents to clients and taxing authorities.
  • Maintain and monitor extension filing schedules, tax return status reports, and due-date tracking systems.
  • Assist with monitoring tax deadlines and follow up to promote accountability on internal and external tax projects.
  • Organize, scan, index, and electronically file client documents within the firm's document management system.
  • Scan and properly store physical copies of client tax documents.
  • Maintain accurate physical and electronic client records and correspondence files.

Administrative & Operational Support

  • Perform billing, collections, and related administrative support functions.
  • Create, modify, and maintain documents using Microsoft Office applications.
  • Create financial, statistical, and management reports using spreadsheets and other reporting tools.
  • Manage, organize, update, and maintain relevant databases and tracking systems.
  • Compose, type, and distribute routine correspondence and communications.
  • Prepare and submit Partner expense reports.
  • Sign for, receive, and distribute incoming packages and deliveries (UPS, FedEx, USPS, courier services, etc.).
  • Purchase and maintain office supplies and related departmental resources.
  • Coordinate and maintain records related to staff office assets, keys, company credit cards, and other assigned items.
  • Perform general administrative and clerical duties, including copying, scanning, filing, mailing, and document preparation.
  • As part of our compliance program, all team members are required to follow industry leading data and system security practices.

What you will need

  • College Degree preferred but not required.
  • Minimum of 3-5 years of Executive or Administrative Assistant experience, preferably in a Tax environment.
  • Proficiency with computer, and various software including Word, Adobe, Tax Software, Microsoft Outlook and other software applications.
  • Provide excellent customer service to clients.
  • Ability to perform several tasks concurrently with ease and professionalism.
  • Ability to communicate clearly and concisely, verbally and in writing, in English.
  • Knowledge of modern office methods and procedures, filing, telephone techniques, and office equipment, as well as business English usage, spelling, grammar, and punctuation.
  • Strong verbal, organizational, and interpersonal skills.
  • Execute assignments of a confidential nature; requires ability to keep matters confidential.
  • Ability to operate various office equipment including copier, computer, laser printer, postage machine, fax machine, binding machine, and multi-line telephone.
