Job description

$50,000 a year, Flex Fridays, and an in-office role where your Spanish is a requirement, not a bonus.

City Wide Facility Solutions is hiring a bilingual Operations Administrative Assistant in Las Vegas. City Wide is a management company. We coordinate 20+ building services for commercial properties through a network of independent vendors, and our operations team is the single point of contact for every client. Your job is to keep that team in the field. You'll take the paperwork off their desks and build the vendor pipeline that keeps our accounts staffed in Las Vegas and Northern Nevada.

The role has two halves. One half is administrative support for the operations team. The other half is recruiting new vendors by phone and email, in English and Spanish.

What you'll do:

  • Recruit and onboard two new vendors each month across both Nevada markets
  • Call and email prospective vendors every day, most of them Spanish speaking
  • Walk new vendors through paperwork, insurance, and background check steps
  • Prepare reports, forms, and files so managers spend less time at a desk
  • Track vendor documents and follow up on anything missing
  • Keep vendor records and rosters current in our systems

Requirements

What You Need:

  • Fluent in Spanish and English, spoken and written
  • Comfort making outbound phone calls to people you have not met
  • Administrative or office experience, or equivalent experience keeping others organized
  • Working knowledge of email, spreadsheets, and shared documents
  • Ability to work from our Las Vegas office Monday through Friday

  • Experience with a CRM or applicant tracking system
