Administrative Assistant – Therapeutic Foster Care

GA Family Services
Cheektowaga, New York
Full-Time | Non-Exempt | 40 hours per week
Pay Range: $17.00–$20.31 per hour
Schedule: 8:30am–5pm, Monday through Friday

GA Family Services is seeking an organized, dependable, and welcoming Administrative Assistant to support our Therapeutic Foster Care program. This position serves as a primary point of contact for employees, foster families, visitors, and community partners while providing essential administrative support to the program.

The ideal candidate will have strong communication and organizational skills, sound judgment, and the ability to manage multiple priorities while maintaining confidentiality.

Key Responsibilities
  • Answer incoming telephone calls, respond to general inquiries, and direct calls appropriately.
  • Greet visitors and provide courteous, professional assistance.
  • Provide administrative and secretarial support to departments as assigned.
  • Maintain accurate program, employee, and foster family information and documentation.
  • Update and distribute internal contact lists and directories.
  • Assist with tracking foster parent documentation and supporting compliance with applicable requirements.
  • Maintain calendars and coordinate the use of meeting rooms.
  • Sort and distribute incoming mail and assist with agency mailings.
  • Maintain petty cash accounts and related records.
  • Assist with employee and foster parent retention activities, including event planning, organization, and donation requests.
  • Handle sensitive information with discretion and maintain confidentiality.
  • Organize, prioritize, and complete assignments accurately and within established timelines.
  • Work collaboratively with team members while demonstrating initiative and the ability to work independently.
  • Attend required training and in-service programs.
  • Perform other duties as assigned to support the needs of the agency.
Qualifications
  • High school diploma or equivalent required.
  • Previous receptionist, secretarial, or administrative support experience preferred.
  • Proficiency with computers and standard office applications.
  • Strong typing, telephone, written communication, and interpersonal skills.
  • Excellent organizational skills and attention to detail.
  • Ability to manage competing priorities and perform effectively in a busy office environment.
  • Ability to interact professionally with employees, foster families, visitors, and community partners.
  • Ability to maintain confidentiality and exercise appropriate judgment when handling sensitive information.
  • Dependable attendance and the ability to work the assigned Monday–Friday schedule.
