As a leader in fleet management, we're leveraging our expertise to enter the AV space, forming strategic partnerships with cutting-edge technology providers. We're looking for dedicated team members to help us pioneer this new chapter, starting with our first AV depot in Nashville, Tennessee.
The Opportunity
Reporting to the Service Lead, Flexdrive is seeking a decisive and security-conscious Repair Coordinator to own the complete repair and parts lifecycle for our 24/7 AV operations - from the initial intake of a vehicle requiring service, through parts procurement and consumption, to the vehicle's final release back into the active fleet. This role is the central hub for service workflow, technician support, and inventory infrastructure: coordinating work assignments, comprehensive vehicle information, and correct parts availability to minimize vehicle downtime and uphold the high availability standards required for an autonomous fleet. The Repair Coordinator directly impacts the operational efficiency, inventory accuracy, and reliability of Flexdrive's AV deployment.
This position offers unique exposure to cutting-edge AV technology and supply chain management in a highly regulated environment. The role requires someone who can balance operational efficiency with uncompromising security standards, provide 24/7 support coverage, and maintain perfect inventory accuracy. Work Schedule & Shift Availability
Day Window Shift Pattern
This role supports 24/7 AV depot operations and requires availability to work day window shifts, with hours scheduled between 6:30am - 9:30pm. Specific shift times and schedules will be determined based on operational needs and business requirements.
Responsibilities
1. Work Order & Repair Cycle Management
  • Repair Order Processing: Initiate work orders from diagnostics, inspections, and automated alerts; assign work to technicians based on skill, workload, and depot priorities; close completed repairs after verifying labor, parts, and "Three Cs" (Complaint, Cause, Correction) documentation in the fleet management system.
  • Cycle Time & Labor Oversight: Track vehicle downtime against SLAs, escalate stalled repairs (parts delays, diagnostic challenges), and review technician time against standard repair times to flag training needs.
  • Technician Liaison: Communicate repair priorities, parts availability, and work order status between operations and maintenance teams to optimize vehicle turnaround.
2. Inventory & Parts Management
  • Inventory Control & Transactions: Manage on-site inventory of AV components, consumables, and spare parts; execute all receipts, consumption, cycle counts, and discrepancy reconciliation through partner inventory systems (SAP), maintaining 99%+ accuracy.
  • Procurement, Kitting & Logistics: Track parts deliveries and expedite critical orders to prevent downtime, pre-kit parts for scheduled work orders, and manage inbound freight intake at the dock.
  • Service-Parts Integration: Allocate parts to active work orders and ensure consumption is accurately tracked to the correct vehicle/work order for billing and warranty.
3. Security & Quality Compliance
  • Proprietary Component Security: Maintain strict chain-of-custody and secure, limited-access storage for AV proprietary hardware and other high-value components, preventing unauthorized access or disposal.
  • Quality & Discrepancy Management: Maintain quarantine areas for non-conforming parts, verify inbound shipments against documentation, and report discrepancies (overages, shortages, damage) within 24 hours.
  • Documentation & SOP Adherence: Maintain audit-ready Repair Order and inventory records and conform to all partner service, inventory, and hardware transaction SOPs.
4. System Operations & Reporting
  • Fleet & Inventory Systems: Log all parts consumption and serial-number tracking in the fleet management system for full lifecycle traceability.
  • Reporting & Analytics: Generate inventory and service reports, analyzing consumption and cycle-time trends to optimize stock levels, throughput, and carrying costs.
5. 24/7 Coordination & Safety
  • Cross-Shift Continuity: Lead daily pass-down meetings and maintain handover documentation covering WIP, down vehicles, and safety campaigns to ensure continuity across shifts.
  • On-Call & Multi-Site Support: Provide on-call mobile support for off-hours crews, travel between depot/warehouse/third-party sites as needed, and coordinate with parts suppliers and repair vendors.
  • Safety & Environmental Compliance: Handle hazardous materials and waste streams per EHS/NFPA standards, use required PPE, and safely operate forklifts and pallet jacks per material handling and pedestrian safety protocols.
Technical Requirements
  • Proficiency with ERP or similar inventory management systems (SAP strongly preferred)
  • Ability to use fleet/shop management tools for work order processing and parts consumption tracking
  • Competency with mobile devices and inventory scanning equipment
  • Basic Microsoft Office/Google Workspace skills for reporting
  • Understanding of inventory management best practices (FIFO, cycle counting, ABC analysis)
Experience
  • High school diploma or equivalent required; Associate degree in Supply Chain, Logistics, Business, or related field preferred.
  • 2+ years of experience with Shop Management Systems (SMS) or Fleet Management Systems and with ERP systems (SAP strongly preferred), including creating estimates, managing WIP (Work in Progress), inventory transactions, cycle counting, and reporting.
  • Demonstrated experience managing high-value or sensitive inventory with strict security requirements.
  • Strong attention to detail with a proven track record of maintaining high fleet availability and inventory accuracy (98%+) while meeting Repair Cycle Time SLAs.
  • Experience with automotive parts nomenclature, identification, and handling procedures preferred.
  • Physical capabilities including the ability to lift up to 50 lbs unassisted, maneuver heavy automotive components (100+ lbs) using pallet jacks, team lifts, or other material handling equipment, stand/walk for extended periods, and operate material handling equipment.
  • Forklift Certification: Willingness to obtain and maintain OSHA-compliant forklift certification (sit-down/stand-up) within 30 days of hire. Current valid forklift certification and prior heavy-part handling experience is a plus.
  • Valid driver's license with clean driving record for travel between locations.
  • Flexibility to work various shifts and provide on-call support during nights/weekends as needed.

The expected base pay range for this position in the Nashville area is $20.11 - $25.13, not inclusive of potential equity offering, bonus or benefits.
