Job Overview:

The Marketing Operations Specialist will report to the SVP of Marketing & Partnerships, working across the Marketing team to support day-to-day execution, coordination, and follow-through on all initiatives. This role includes more than administrative tasks-it involves coordinating marketing projects, ensuring timely follow-up on action items, and supporting ongoing campaigns. The ideal candidate will have a firm grasp of marketing fundamentals, excellent organizational skills, and the ability to anticipate the needs of Marketing leadership to ensure smooth operations and effective communications. This candidate must be a team player and ready and willing to dive in on special projects as needed.

Essential Functions and Responsibilities:

Marketing Support & Follow-Up

  • Own coordination across the marketing department, aligning internal and external stakeholders and driving assigned tasks and action items to completion.
  • Manage marketing project trackers in Wrike end to end, owning deadlines, deliverables, and progress updates to keep initiatives moving forward.

Partner Marketing & Advertising Coordination

  • Own coordination of deliverables for strategic partnerships (AMAC, NRA, and others), tracking timelines and looping in agencies, media buyers, and internal stakeholders.
  • Manage discount code and referral source code setup and coordination with endorsement partners and our ad buying agency for all promotional offers and endorsements.
  • Coordinate the creative process with designers, routing partner marketing materials through review to final approval.
  • Track and schedule partner live-read advertisements, radio scripts, and promotional messaging through to delivery.

Content & Campaign Coordination

  • Own the content calendar across channels (social media, email, website), planning and scheduling to keep messaging on brand and aligned with the company's strategic vision.
  • Lead the preparation of marketing materials, presentations, and reports through to final review by marketing leadership.

Project Management & Communication

  • Own marketing projects from kickoff to completion, keeping project trackers, schedules, and status reports current and accurate in Wrike.
  • Serve as the point of contact with internal teams and external vendors, clarifying requirements and driving tasks to on-time completion.

Event Asset Support

  • Own the marketing assets, landing pages, and giveaways for events and trade shows, from planning through execution.
  • Ensure all event marketing materials are ready and delivered on time.

Required Knowledge/Skills/Abilities:

  • Exceptional organizational and time management skills, with strong attention to detail and the ability to anticipate needs and proactively offer solutions
  • Familiarity with marketing software and tools such as CRM systems (e.g., Salesforce, HubSpot), Wrike, email marketing platforms, Google Analytics, and social media scheduling tools
  • Comfortable working with data, analyzing metrics, and providing summaries that highlight key insights
  • Excellent written and verbal communication skills, with the ability to proofread, edit, and ensure brand consistency across all deliverables
  • Creative eye for graphic design: a good sense of layout, typography, and visual storytelling; ability to use tools like Canva or basic Adobe Creative Suite functions is a strong bonus

Education and Experience:

  • Bachelor's degree from a regionally accredited college preferred.
  • 2-4 years of experience in a marketing support role or similar, ideally assisting a marketing leader or director.

Physical Requirements:

  • Must be able to sit or stand for long periods of time.
  • Must be able to work in a variety of spaces, including cubicle, counter, and desk areas.
  • Must be able to lift and move items up to 25 pounds.
