Job description

The Coordinator, Event Operations (Seasonal) supports the planning, execution, and operational management of MLB events and initiatives across multiple business functions. This role is responsible for coordinating complex event logistics, managing operational processes, developing event-related materials and communications, and supporting cross-functional project execution for high-profile league events, including but not limited to World Tour, All-Star Week, Winter Meetings, Little League Classic, and Postseason activities.

The position requires strong organizational and project management capabilities, sound judgment, attention to detail, and the ability to manage multiple priorities in a fast-paced environment while collaborating with internal stakeholders, vendors, and external partners.

Responsibilities

  • Coordinate and manage operational planning and execution for MLB events and league initiatives, including logistics management, timeline tracking, stakeholder coordination, and event operations support
  • Manage event planning processes and operational workflows for major events, including scheduling, meeting coordination, agenda development, and follow-up action tracking
  • Develop, maintain, and oversee event operations materials, including event previews, operational guides, "Know Before You Go" communications, recaps, and presentation materials for internal and external audiences
  • Support cross-functional collaboration across operational verticals to ensure alignment on event priorities, deliverables, and timelines
  • Maintain and oversee department information management systems, shared drives, operational documentation, and recordkeeping processes to support efficient information sharing and organizational continuity
  • Create and edit presentations, communications, and operational materials for senior leaders, internal stakeholders, and external partners
  • Research operational needs, identify process improvement opportunities, and support department initiatives and special projects as assigned
  • Coordinate operational logistics related to event shipping, receiving, inventory tracking, and vendor support
  • Exercise discretion and independent judgment in managing priorities, responding to operational challenges, and supporting event-related decision-making
  • Support onsite event operations as needed, including occasional evening, weekend, and travel responsibilities
  • Perform other related duties and special projects as assigned

Qualifications and Skills

  • Bachelor's Degree required
  • Minimum of two years of experience in event operations, project coordination, logistics, or administrative support within a fast-paced environment, or an equivalent combination of education and experience
  • Prior experience supporting large-scale events, sports, entertainment, hospitality, or operational functions preferred
  • Strong organizational, project management, and multi-tasking skills with the ability to manage competing priorities and deadlines
  • Demonstrated ability to exercise sound judgment, solve problems, and proactively manage operational needs
  • Excellent written, verbal, and interpersonal communication skills with the ability to collaborate effectively across teams and levels of the organization
  • Advanced proficiency in Microsoft Office Suite, particularly PowerPoint; experience with Adobe Acrobat, Google Workspace, Concur, and other business systems preferred
  • Ability to handle confidential and sensitive information with professionalism and discretion
  • Strong attention to detail and commitment to operational excellence
  • Ability to work independently and collaboratively within a team-oriented environment
  • Flexibility to work evenings, weekends, and extended hours in support of events and operational needs
