Job description

Admin Assistant

We are seeking an Admin Assistant to join our client in the healthcare emergency services space. This role sits in Tempe, AZ. You'll be the go-to support for our CFO (70%) and VP of Business Development (30%), helping keep priorities organized and moving. From scheduling, travel coordination, and meeting prep to tracking projects and sending follow-ups, you'll play a key role in day-to-day operations.

You'll manage data entry, support the finance team, and help maintain internal workflows that keep projects on track. It's a fast-paced, high-visibility role where you'll stay close to both financial operations and business growth initiatives.

MUST:
  • 2-10 years of experience as an Admin Assistant (want someone greener career)
  • Someone ok with not having a super structured, leave at 5pm atmosphere, this is emergency services industry – always changing
  • Comfortable with a task management program, this person needs to take notes from email and input into our task management system into action items
  • Tech savvy and can learn new systems
  • Zippy/high energy/go getter
  • Always 2 steps ahead of the executive they are supporting
  • Reviewing calendars, scheduling, Comfortable booking travel, expense reports, shipping conference materials
  • Super organized, and super reliable
  • Strong with Excel
  • Strong project management
  • Not afraid of numbers and calculations/has ideally supported a CFO/finance exec before- they are supporting the CFO and taking meeting notes on financial meetings
