Shift: 1st shift, Mon-Friday
Duration: 06 Months
Pay range: $30.30/hr. - $45.45/hr.
Hybrid - Onsite Tuesdays
Role Overview

The Roofing Project Coordinator Contractor will manage portfolio administration, project activation, milestone tracking, data accuracy, and cross functional communication for roofing capital replacements, warranty work, and assessment driven projects. The contractor will ensure projects are activated, documented, and closed out accurately and on time while maintaining real time visibility across program systems.
TECHNICAL SKILLS
Must Have
  • Ability to manage multiple projects simultaneously with high attention to detail
  • Proficiency or ability to quickly learn Client's systems including Smartsheet, Skylight, SAP, Maximo, Procore, and Microsoft Office
  • Strong customer service orientation and cross functional collaboration skills
  • Strong organizational, written communication, and prioritization skills

Nice To Have
  • 2+ years of experience in facilities management, construction coordination, or capital program support
Key Responsibilities
Portfolio and Data Management
  • Pull and validate site drawings for planned and unplanned projects
  • Maintain and update Smartsheet for real time portfolio visibility
  • Clean and archive legacy Smartsheet data
  • Manage Smartsheet access and Dynamic View permissions
  • Ensure roofing portfolio data accuracy in Maximo prior to asset updates
  • Manage Skylight date tracking and milestone accuracy
  • Support new store asset portfolio setup
  • Maintain roofing assessment data including updating results, creating lists, and supporting schedules
Project Activation and Work Order Management
  • Open and manage locations in SAP and Skylight to support project activation
  • Bulk load work orders for roof replacement projects
  • Create and manage warranty related work orders
  • Bulk load assessment follow up work orders to vendors
  • Support Roofing OC processes
  • Manage project closeouts to ensure timely payment and documentation completion
Milestone Tracking and Communication
  • Maintain milestones in Smartsheet and Skylight
  • Support contract documentation tracking as needed
  • Draft and manage store and field project communications for planned and unplanned work
  • Monitor Viva Engage and flag legitimate issues to reduce unnecessary capital escalations
  • Coordinate kickoff calls and milestone meetings
  • Support ad hoc business reviews and reporting
Success Measures
  • On time activation and completion of roofing capital and assessment projects
  • Accurate and timely portfolio data across systems
  • Clean and timely project closeouts enabling vendor payment
  • Reduction in escalations through proactive communication
  • Improved visibility and milestone compliance across the roofing portfolio
