Job description

Spee Dee Delivery is a family owned and operated company that was started in 1978 by Donald and Sylvia Weeres. Our core business is in standard, next-day, ground delivery. The corporate headquarters and main sort facility is located in St. Cloud, MN. We currently employ over 1,800 employees company wide and over the years have expanded throughout the Midwest.

Job Summary

The Executive Assistant provides high-level administrative and operational support to the Executive Leadership Team. This role is responsible for managing calendars, coordinating meetings and events, supporting company initiatives such as sponsorship and donation programs, and ensuring the efficient operation of administrative functions. The Executive Assistant serves as a key liaison across departments while maintaining a high level of professionalism, organization, and confidentiality.

Hours and Wage

  • Monday-Friday, 8:00AM-5:00PM
  • Starting wage: $24.00-26.00 based experience
  • Schedule flexibility may occasionally be needed to support executive meetings or events.

Duties and Responsibilities

  • Provide direct administrative support to members of the Executive Leadership Team.
  • Manage executive calendars including scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize materials for meetings, presentations, and executive communications.
  • Maintain confidential files, documents, and records.
  • Assist with administrative projects and initiatives assigned by executive leadership.
  • Coordinate internal communications on behalf of leadership when necessary.
  • Schedule and coordinate executive and leadership meetings.
  • Prepare meeting agendas, documents, and materials.
  • Set up conference rooms and meeting spaces including technology, seating arrangements, and materials.
  • Order meals or catering for meetings and events when required.
  • Assist with company events, leadership meetings, and special functions.
  • Conduct routine postal runs, including handling bank deposits and pickup and drop-off of company mail.
  • Sort, distribute, and process incoming and outgoing mail.
  • Coordinate delivery of time-sensitive or confidential documents.
  • Maintain organized filing systems including digital and physical records.
  • Assist with document management and retention processes.
  • Manage company sponsorship programs including tracking requests, coordinating approvals, and maintaining records.
  • Assist with administration of corporate donation and charitable giving programs.
  • Maintain documentation and reporting related to community engagement initiatives.
  • Coordinate communication with community organizations when necessary.
  • Support cross-department administrative needs as requested by executive leadership.
  • Assist with special projects, research, and reporting.
  • Track administrative tasks and ensure timely completion.
  • Help maintain efficient office operations and administrative workflows.

Skills and Abilities

  • Strong organizational and time management skills.

Education and Experience

  • 3+ years of administrative support experience, preferably senior leadership
  • Experience managing calendars, meetings and executive communications preferred
  • Associate's degree in business administration, communications or a related field preferred.

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times for occasional lifting of office supplies or meeting materials may be required.
