Position Summary


Hexin Machinery USA is seeking a bilingual Operations & Administrative Assistant to support the General Manager in coordinating administrative and operational processes across our U.S. and Mexico entities.


This position will assist in overseeing office administration, accounting coordination, HR procedures, and operational planning. The role focuses on process coordination, follow-up, and operational support, ensuring that internal teams and external partners execute tasks efficiently.


The position will not require performing detailed accounting or HR technical work, but will assist in monitoring processes, coordinating with staff, and ensuring procedures are completed properly.


Key Responsibilities


  • Operational Coordination
  • Support the General Manager in coordinating administrative operations between U.S. and Mexico offices
  • Track operational tasks, deadlines, and internal reporting
  • Ensure communication and alignment between teams
  • Accounting Coordination
  • Assist in coordinating with accountants and finance staff
  • Help organize financial documents and reporting schedules
  • Human Resources Support
  • Assist with employment procedures including onboarding documentation and employee records
  • Coordinate with HR staff regarding employment compliance and internal policies
  • Office Administration
  • Coordinate vendor communication, contracts, and office procedures
  • Track operational plans, schedules, and administrative processes
  • Assist with internal documentation and reporting

Qualifications


  • 3–5 years experience in an administrative, operations assistant, or coordinator role in international manufacturing business
  • Experience working in manufacturing, industrial, or automation companies preferred
  • Fluent in English and Spanish
  • Strong organizational and coordination skills
  • Ability to manage multiple processes and follow up on tasks
  • Comfortable working in an international company environment

Reporting Line


This position reports directly to the General Manager and supports cross-border operational coordination between Hexin USA and Hexin Mexico.
