Position Overview
We are seeking a professional, senior Receptionist & Switchboard Operator to provide front-desk and administrative support for a high-profile corporate office environment. The ideal candidate will serve as the first point of contact for visitors and employees, manage guest registration processes, handle incoming calls, and support various administrative functions while maintaining a welcoming and organized reception area.
Key Responsibilities
- Greet visitors, clients, and associates professionally and courteously.
- Manage daily guest lists and visitor registrations.
- Process guest registration requests received through the reception mailbox.
- Register guests in the BXP security system and maintain accurate visitor records.
- Issue visitor badges, employee access cards, and replacement badges as needed.
- Answer, screen, and transfer incoming calls and voicemails to the appropriate parties.
- Schedule and coordinate meeting rooms through the reservation system.
- Maintain reception area cleanliness and professional appearance at all times.
- Distribute monthly transportation passes (T-Passes).
- Maintain and distribute company Grab-N-Go cards.
- Register new employees, temporary staff, contractors, and co-op personnel in company badging and seating systems.
- Update company phone directories and speed-dial lists.
- Issue and track company loaner cell phones.
- Assist with administrative projects such as preparing labels, compiling manuals, and other office support activities.
- Maintain monthly site data, reports, and standard operating procedures.
- Support associates and other departments as needed.
- Participate in company and community service initiatives.
- Perform additional administrative and PC support duties as assigned.
Required Qualifications
- High School Diploma or equivalent required.
- Minimum 2 years of receptionist, switchboard, front desk, or customer service experience.
- Experience in a high-volume customer-facing environment supporting approximately 350-450 visitors per month.
- Strong data entry and administrative skills.
- Excellent organizational and multitasking abilities.
- Strong problem-solving skills and attention to detail.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office Suite and Microsoft 365, including Word, Excel, Outlook, and Teams.
- Ability to build professional relationships with customers, visitors, and internal teams.
Preferred Skills
- Previous corporate reception or switchboard experience.
- Experience managing visitor management and badging systems.
- Knowledge of meeting room reservation systems.
- Familiarity with security access management processes.
