Job description

As a Content & Knowledge Systems Manager, you'll guide Acelero's digital content through every stage-from setup and organization to access and distribution. In this role, you'll serve as the primary AODocs administrator, lead our document management rollout across Learning & Impact teams, and oversee curriculum assets.

Your Role:
As a Content & Knowledge Systems Manager, you will combine strategy with hands-on execution, including data migration, document tagging, metadata maintenance, and user support.
What You'll Do:
System Ownership & Administration
  • Serve as the primary owner and administrator of AODocs, including folder architecture, metadata schemas, permissions models, and user access across internal teams, delegate organizations, and community partner organizations.
  • Maintain a single source of truth for all published and finalized LIT content, ensuring documents are organized, current, and retrievable.
  • Execute regular audits of legacy repositories (SARGE, Shine Access, and others) to support the eventual retirement of redundant systems.
  • Monitor system performance, escalate vendor issues with clear documentation, and hold vendors accountable to service commitments.

Organization-Wide Document Management System (DMS) Implementation
  • Drive DMS rollout to completion across the organization per established roadmaps.
  • Manage team-level onboarding including kickoff facilitation, metadata working sessions, permissions configuration, content migration, and training delivery.
  • Own the Salesforce Knowledge integration workstream in coordination with IT and Public Systems once the connector tool is released.
  • Track progress against milestones and surface blockers early rather than absorbing them.

LIT Content Asset Management
  • Lead the content lifecycle infrastructure for LIT's intellectual property, including curriculum, coaching tools, family engagement resources, assessment instruments, and training content spanning birth-to-five programming.
  • Maintain versioning standards aligned to program cycles, grant compliance windows, and instructional review processes.
  • Work directly with curriculum designers, content leads, and coaches to manage intake, review cycles, publication, and archiving of curriculum assets.
  • Ensure version discipline and metadata accuracy are treated as programmatic integrity requirements, not administrative tasks.

CMS Readiness & Transition
  • Contribute to LIT's custom CMS build by documenting content requirements, use cases, and integration needs from a LIT content management perspective.
  • Collaborate with the Early Learning and IT teams to inform CMS architecture decisions, ensuring the system reflects how LIT content is actually created, versioned, and distributed.
  • Lead LIT's content onboarding and migration into the new system once launched, ensuring materials are structured, tagged, and accessible from day one.

Training, Support & Adoption
  • Author user guides, governance documentation, and training materials for all platforms under management.
  • Deliver team-specific training sessions and provide ongoing user support.
  • Monitor adoption rates, identify barriers, and develop targeted interventions when teams are not engaging with systems as intended.
  • Measure and report on adoption as a core indicator of implementation success - not a secondary concern.

What You Bring:
  • Bachelor's degree in Library Science, Information Technology or a closely related field required.
  • Minimum of three (3) years of experience in document management, content operations, or knowledge management, with demonstrated evidence of both system administration and hands-on execution.
  • Experience in an educational, nonprofit, or mission-driven organization preferred.
  • Advanced AODocs experience preferred.
  • Proficiency with CMS platforms (e.g., Drupal, WordPress), project management tools, and Google Workspace.
  • Advanced spreadsheet skills for data manipulation and bulk uploads.
  • Experience with Salesforce or other CRM platforms a plus.
  • Physical exam and background checks required.
  • Travel required locally or long-distance up to 10% of the time for team meetings and system rollout support.

How Much: The range for this position is $85,000 -$90,000 annually + comprehensive benefits package
