JOB PURPOSE 

Speed Vegas is seeking an enthusiastic and highly organized Track Operations Coordinator to support the daily administrative and guest-service needs of our track operations team. This position serves as a central point of contact among management, employees, customers, and external partners. The ideal candidate handles a wide range of responsibilities with professionalism, accuracy, urgency, and a positive attitude while helping deliver a safe, efficient, and memorable guest experience. This position offers a competitive hourly rate and industry-leading benefits. 

DUTIES AND RESPONSIBILITIES 

  • Provide administrative support to track managers, including calendar management, reminders, travel coordination, catering, correspondence, and other daily operational needs. 

  • Review employee hours in Paycom for timecard accuracy and send attendance-related reminders as directed by management. 

  • Prepare sales and labor-hour reports and assist with entering commissions, tips, gratuities, and bonus calculations for biweekly payroll. 

  • Perform general office administration duties as needed. 

  • Maintain office policies, procedures, and operational standards. 

  • Act as a professional point of contact for employees, customers, management, and external partners, responding promptly and accurately to questions and requests. 

  • Greet guests warmly, proactively identify their needs, and provide clear information regarding track experiences, products, services, and Speed Vegas merchandise. 

  • Help create a luxury guest experience by maintaining a polished, welcoming, and service-focused presence at all times. 

  • Open and close cash registers; count funds, separate transaction records, balance cash drawers, prepare safe deposits, and verify weekly deposit accuracy. 

  • Maintain accurate inventory levels for merchandise and operational supplies; restock, move boxes, reconcile counts, and place orders as needed. 

  • Maintain the appearance, cleanliness, safety, and functionality of the welcome center and track areas, reporting concerns promptly to management. 

  • Oversee incoming and outgoing mail, packages, and correspondence, including delivery to the Post Office, FedEx, or UPS when needed. 

  • Submit and track IT and maintenance support requests with both departments. 

  • Understand and comply with facility safety and emergency procedures. 

  • Collaborate proactively with coworkers by sharing information, supporting team goals, and communicating openly to consistently deliver exceptional customer service. 

  • Provide backup support for the Corporate Office Manager when needed. 

  • Maintain regular and consistent attendance. 

  • Enter monthly data reports. 

  • Maintain strict confidentiality of sensitive employee, payroll, financial, and guest information encountered in the course of daily duties. 

  • Perform other duties as assigned. 

KNOWLEDGE 

  • Administration and Management — General office administration, organization, reporting, and coordination of operational and customer needs. 

  • Language — Strong command of written and spoken English, including grammar, spelling, and professional communication. Bilingual ability in Spanish, French, or another language is a plus. 

  • Customer and Personal Service — Knowledge of customer-needs assessment, service-quality standards, problem resolution, and customer-satisfaction practices. 

  • Tools and Technology — Familiarity with calculators, cash registers, desktop computers, scanners, copiers, telephone systems, and standard office equipment. 

  • Industry Interest — Knowledge of, experience with, or enthusiasm for exotic cars, motorsports, and racing is preferred. 

SKILLS 

  • Strong attention to detail, accuracy, organization, and follow-through. 

  • Active listening, critical thinking, reading comprehension, professional speaking, and business writing. 

  • Basic math skills, including addition, subtraction, multiplication, and division.

WORK ENVIRONMENT 

Work is performed in a shared office, welcome-center, and racetrack environment. The role requires frequent use of a computer and telephone and may involve working outdoors in varying weather conditions. The position may require evening, weekend, and holiday hours based on business needs. The employee may occasionally be required to climb, balance, stoop, kneel, or crouch and must be able to frequently lift or move items weighing up to 50 pounds. The work environment may include loud and repetitive noise.

The Track Operations Office Assistant must exercise the highest level of discretion and maintain strict confidentiality at all times, sharing sensitive information only with authorized personnel on a need-to-know basis and in accordance with company policy and applicable law.
