What is medical equipment planning?

Medical equipment planning is the process of determining the types, quantities, and specifications of medical equipment needed for healthcare facilities, such as hospitals and clinics. This involves working closely with architects, healthcare professionals, and facility managers to ensure that equipment is integrated effectively into the building design and workflow. The goal is to ensure that the right equipment is available where and when it is needed, supporting patient care and operational efficiency while meeting regulatory and safety requirements.

What are some common challenges faced in medical equipment planning, and how can professionals overcome them?

Medical Equipment Planners often face challenges such as coordinating input from multiple stakeholders, keeping up with rapidly evolving technology, and ensuring compliance with healthcare regulations. Effective communication with clinical staff, architects, and vendors is essential to align equipment needs with facility design and budget constraints. Staying informed about industry trends and participating in continued education helps planners recommend up-to-date and cost-effective solutions. Developing strong project management skills also enables professionals to handle complex schedules and prevent costly delays.

What are the key skills and qualifications needed to thrive in medical equipment planning, and why are they important?

To excel in Medical Equipment Planning, you need expertise in healthcare facility design, equipment specifications, and project management, often backed by a degree in biomedical engineering or a related field. Familiarity with tools such as AutoCAD, Revit, equipment databases, and knowledge of regulatory standards is typically required. Strong communication, problem-solving, and organizational skills are vital for effective collaboration with healthcare professionals and vendors. These competencies ensure that medical equipment is selected, placed, and integrated efficiently, supporting safe and effective patient care.

HFG Architecture is a planning and design firm focused on bringing accessible healthcare to the communities we serve. We are leaders in the industry of healthcare design and provide high quality services for our clients. Our offices in Wichita, Kansas City, Tulsa, Oklahoma City, and Northwest Arkansas are comprised of diverse team members committed to designing exceptional health facilities. Services include architectural design, planning, medical equipment coordination, and interior design. For 30 years, we've served rural and urban communities by working with Critical Access Hospitals, healthcare systems, regional hospitals, and independent clinics in more than 20 states and three countries. At HFG, We Make Space for Care.

About the Role

As a Medical Equipment Planning Project Manager at HFG Architecture, a leading healthcare architecture firm, you will lead the medical equipment planning and coordination process across healthcare projects from conception to completion. You will collaborate with clinical stakeholders, multidisciplinary design teams, vendors, and clients to ensure that medical equipment is properly identified, budgeted, specified, procured, and integrated into each facility. Your expertise in medical equipment planning, healthcare design, and client relations will contribute to the timely delivery of high-quality, fully equipped healthcare environments.

Key Responsibilities & Duties:

Project Management:

  • Oversee all phases of the medical equipment planning process—from programming and schematic design through procurement, installation, and activation.
  • Define equipment scope, schedules, deliverables, and resource plans; monitor and adjust to maintain profitability and quality.
  • Manage multiple projects simultaneously while balancing competing priorities and deadlines.
  • Develop and maintain detailed equipment lists, inventories, and databases, categorized by procurement responsibility (owner- or contractor-furnished, existing/relocated, and new).
  • Develop and manage equipment budgets with internal teams and clients, identifying and addressing concerns early.

Client Relationship Management:

  • Serve as the primary client contact for equipment matters, building strong, long-term relationships.
  • Facilitate clinical user group and stakeholder meetings to determine equipment needs and validate selections.
  • Represent the firm in project presentations, community engagement, and client meetings.

Team Leadership & Collaboration:

  • Lead and coordinate multidisciplinary teams, fostering collaboration, accountability, and design excellence.
  • Support and mentor team members and junior planners as applicable.
  • Coordinate with project teams and firm principals to ensure alignment and successful delivery.

Equipment Planning & Coordination:

  • Translate clinical workflows and user requirements into equipment selections and space planning decisions.
  • Coordinate equipment requirements—electrical, plumbing, HVAC, medical gas, structural support, data, and shielding—with architectural and engineering teams.
  • Develop equipment specifications, cut sheets, and procurement documentation.
  • Review drawings and rough-in documents to confirm integration and resolve conflicts.

Procurement, Installation & Activation:

  • Coordinate with vendors and manufacturers on specifications, rough-in requirements, lead times, and delivery.
  • Support procurement and bid processes for medical equipment.
  • Oversee equipment delivery, installation, testing, and activation, including submittals, RFIs, and site visits.
  • Assist with transition planning and move management as needed.

Regulatory Compliance & Quality Assurance:

  • Maintain working knowledge of relevant healthcare codes and standards (e.g., FGI, ADA, IBC, NFPA, Joint Commission).
  • Conduct regular quality control reviews and implement corrective actions as needed.

Travel Requirements:

This role requires approximately 10-20% travel for project-related needs, including site visits, client meetings, and occasional industry events.

Qualifications:

  • Bachelor's or Master's degree in Architecture, Interior Design, Healthcare Administration, Nursing, Biomedical Engineering, or a related field.
  • Experience in medical equipment planning, healthcare project management, or a related healthcare, architectural, or construction environment. We welcome applicants across a range of experience levels and will match the role to the right candidate.
  • Ability to manage multiple projects simultaneously while balancing competing priorities and deadlines.
  • Knowledge of medical equipment, clinical workflows, and healthcare facility design and operations.
  • Strong knowledge of healthcare design codes and regulations (e.g., FGI Guidelines, ADA, IBC).
  • Experience with medical equipment planning software (e.g., Attainia) preferred; proficiency in Microsoft Office required. Familiarity with Revit and AutoCAD beneficial.
  • Excellent verbal and written communication skills.
  • Strong leadership, team-building, and problem-solving abilities.
