Job description

Position Summary

Touch MedSpa is seeking a motivated, detail-oriented Medical Assistant to support our HRT, wellness, and functional medicine provider. This role is responsible for assisting the Nurse Practitioner with patient care, lab coordination, chart preparation, follow-up communication, and daily wellness department operations.

The ideal candidate is compassionate, organized, professional, and comfortable discussing wellness services such as hormone replacement therapy, weight loss, lab review, supplements, lifestyle support, and functional medicine treatment plans. This person should be able to create a warm patient experience while also keeping the provider’s schedule and clinical workflow running smoothly.

Key Responsibilities

Patient Care & Clinical Support

  • Room patients and prepare them for wellness, HRT, and functional medicine visits.
  • Obtain and document patient vitals, medical history updates, current medications, supplements, and chief concerns.
  • Assist the Nurse Practitioner during consultations, follow-up visits, lab reviews, and treatment plan discussions as needed.
  • Prepare charts prior to appointments to ensure labs, forms, consents, and previous notes are available.
  • Document accurately in the patient chart according to provider direction and office protocols.
  • Maintain patient confidentiality and follow HIPAA standards at all times.

Lab & Testing Coordination

  • Prepare lab orders as directed by the provider.
  • Assist with blood draws, specimen collection, or lab processing if trained and permitted.
  • Track lab results and ensure they are received, uploaded, and ready for provider review.
  • Communicate lab instructions to patients, including fasting requirements, timing, and next steps.
  • Help schedule lab follow-ups and wellness rechecks.

Patient Communication & Follow-Up

  • Communicate with patients regarding wellness appointment preparation, lab instructions, prescription questions, supplement recommendations, and follow-up scheduling.
  • Help explain next steps in the wellness/HRT process in a clear, professional, and supportive manner.
  • Follow up with patients after consultations or treatment starts as directed by the provider.
  • Coordinate with front desk, admin, and sales teams to ensure smooth scheduling and patient flow.
  • Escalate clinical questions or patient concerns to the Nurse Practitioner appropriately.

Wellness Program Support

  • Support patients participating in HRT, weight loss, wellness, and functional medicine programs.
  • Assist with tracking patient progress, follow-up intervals, medication refills, lab timelines, and treatment compliance.
  • Maintain organization of wellness paperwork, consents, protocols, and educational materials.
  • Help prepare patient packets, instructions, and supplement recommendations as directed.
  • Support the growth of the wellness department by creating a consistent, professional, and high-touch patient experience.

Administrative & Department Support

  • Keep the wellness provider’s schedule organized and prepared.
  • Monitor pending labs, follow-ups, refill requests, and outstanding patient tasks.
  • Maintain cleanliness and organization of exam rooms, lab supplies, wellness materials, and provider work areas.
  • Assist with inventory tracking for wellness-related supplies, lab kits, supplements, injections, or medications as applicable.
  • Participate in team meetings, trainings, and process improvements.

Required Qualifications

  • Medical Assistant certification required.
  • Prior experience in a medical office, wellness clinic, medspa, functional medicine, hormone therapy, or primary care setting required.
  • Strong understanding of patient confidentiality and HIPAA compliance.
  • Comfortable with electronic medical records, charting, scheduling systems, and patient communication.
  • Excellent communication, organization, and follow-through skills.
  • Professional appearance and positive attitude.
  • Ability to multitask in a fast-paced, patient-focused environment.

Highly Preferred Skills

  • Experience with hormone replacement therapy, functional medicine, weight loss, or wellness care.
  • Experience with blood draws or lab coordination.
  • Knowledge of supplements, peptides, hormone therapy, thyroid, metabolic health, or lifestyle medicine is a plus.
  • Strong patient education and customer service skills.
  • Ability to anticipate provider needs and keep clinical workflow moving efficiently.

Physical Requirements

  • Ability to stand, walk, and move throughout the clinic during the workday.
  • Ability to lift or move supplies as needed.
  • Ability to assist with patient care tasks and maintain exam room readiness.

Schedule may vary based on provider hours and patient volume. Some flexibility may be required to support consultations, lab appointments, follow-ups, and wellness department needs.
