Role Description The Office Administrative Assistant will provide day-to-day administrative support to a busy divorce mediation practice in Mountain Lakes, NJ. This is an opportunity to work directly with the most prominent divorce and family mediator in the United States. This full-time, on-site role includes managing phone calls, scheduling appointments, and maintaining calendars. Responsibilities also include preparing and organizing documents, proofreading correspondences and other documents for proper grammar, maintaining physical and electronic filing systems, handling mail, and assisting with data entry and basic recordkeeping. The assistant will support the mediator with logistical needs, help coordinate meetings, and ensure that office supplies and equipment are well-stocked and functioning. The role requires maintaining strict confidentiality, handling sensitive information with discretion, and contributing to a calm and organized office environment. Responsibilities

  • Draft and proofread documents and correspondence
  • Handle client billing/accounts receivable
  • Plan and schedule appointments and events
  • Answer inbound telephone calls
  • Develop and implement organized filing systems
  • Perform all other office tasks



Qualifications

  • Strong Administrative Assistance and Clerical Skills, including scheduling, filing, and document organization.
  • Professional Phone Etiquette and Communication skills for interacting with clients.
  • Proficiency with office software (e.g., MS Office 365 (WordPerfect), Adobe PDF (Drawboard PDF), electronic filing systems, Sage Timeslips or comparable legal timekeeping/billing software, Zoom for virtual meetings, DocuSign, and basic data entry skills. Will train the candidate on use of DivorceWare for child support calculations.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • High school diploma or equivalent required; additional training or coursework in office administration or legal/family services is a plus.
  • Bilingual (Spanish) is a plus.
  • Prior experience in a legal/mediation or professional services environment is preferred but not required
  • Previous experience in office administration, billing, client services and related fields
