Job description

We are looking for an Administrative Assistant to join our team. We are seeking a talented individual who is committed to excellence and who thrives in an environment of collaboration.
Job Purpose: Work as part of a team of attorneys, paralegals and legal assistants to support the litigation practice group. Transcribe and type correspondence, memoranda and time records as well as perform a variety of administrative secretarial duties for attorneys to whom you are assigned according to established policies and procedures.ย 

As an Administrative Assistant at Bodman, you will work closely with administrative professionals (word processing, office services, and receptionists) to:

Assist with secretarial overflow to include:
  • Transcribing and preparing correspondence, memoranda, and other legal documents from written and oral drafts. Assist in case management through mediation and/or trial, including preparation of discovery, correspondence, memoranda, Judicial Council forms, briefs, and other legal documents.ย 
  • Preparing attorney time records; process bills; proof billing sheets; and review and edit bills.
  • Finalize, file, and prepare pleadings for service in State, Federal, and Appellate Courts (including e-filing and e-service).
  • Update and maintain attorney calendars with all court hearings, meetings, depositions, mediations, and expert depositions.ย 
  • ย Request conflict of interest checks.ย 
  • ย Maintain good relations with clients and their support team; and observe confidentiality of attorney-client relationship.
Work with junior and senior level attorneys with unique practices.ย 
ย  ย  ย  ย  ย A resourceful mindset, with a desire to explore and learn new skills and technology.
ย  ย  ย  ย  ย Prior work as a legal secretary or administrative assistant; litigation experience a plus.
ย  ย  ย  ย  ย Ability to transcribe legal documents, correspondence and reports from rough drafts or dictation proficiently and accurately.
ย  ย  ย  ย  ย Ability to organize and prioritize numerous tasks and complete them under time constraints.
ย  ย  ย  ย  ย Excellent proofreading abilities for law office correspondence and legal case matters.
ย  ย  ย  ย  ย Excellent interpersonal skills - one who can communicate effectively in a courteous and diplomatic fashion.
