Job Summary:
CT Mechanical is seeking an experienced Mechanical Project Manager to lead commercial mechanical construction projects from turnover through closeout. This role is responsible for planning, coordinating, budgeting, communicating, and driving the successful execution of assigned projects.
The Mechanical Project Manager will oversee project profitability, labor planning, material coordination, subcontractor and vendor management, schedule performance, client communication, change order management, documentation, and weekly project reporting. This position works closely with field leadership, estimating, warehouse, finance, asset management, HR, IT, vendors, subcontractors, general contractors, owners, and internal leadership.
The right candidate understands commercial HVAC and mechanical construction, has strong field credibility, and knows how to keep projects organized, profitable, and moving forward. This person does not wait for problems to become emergencies. They stay ahead of labor needs, material needs, project risk, schedule impacts, and client expectations.

Role and Responsibilities:

• Manage assigned commercial mechanical projects from project turnover through completion, ensuring work is planned, coordinated, documented, and executed safely, efficiently, and profitably.
• Ensure the profitability of all assigned projects, with a target of achieving a minimum of 10% net profit.
• Review project scope, estimate, budget, drawings, specifications, schedules, submittals, and contract documents to identify risks, gaps, and opportunities early.
• Develop and maintain project plans that include labor needs, material needs, equipment needs, schedule requirements, vendor coordination, subcontractor support, and key project milestones.
• Forecast and manage labor hours and manpower needs, including maintaining a labor forecast and 3-week look ahead.
• Coordinate with field leadership to ensure crews have the information, materials, tools, equipment, and support needed to perform work efficiently.
• Track labor production, project progress, material usage, change order exposure, schedule impacts, and project cost trends.
• Identify margin fade, labor overruns, material issues, and schedule risks early enough to take corrective action.
• Manage project financial performance, including budget tracking, cost-to-complete awareness, change order opportunities, purchasing, vendor costs, subcontractor costs, and project reporting.
• Develop, manage, and maintain strong vendor and subcontractor relationships to support project outcomes.
• Coordinate material purchasing, equipment procurement, deliveries, warehouse needs, receiving, staging, and fabrication requirements.
• Maintain purchasing procedures and support proper documentation for project materials, equipment, rentals, vendors, and subcontractors.
• Work closely with Estimating during project turnover and provide feedback on scope, constructability, labor planning, vendor pricing, and project risk.
• Manage project communication with general contractors, owners, vendors, subcontractors, inspectors, engineers, field leaders, and internal departments.
• Maintain client satisfaction by communicating clearly, addressing concerns promptly, and bringing solutions when issues arise.
• Manage change orders from identification through documentation, pricing support, communication, approval, and tracking.
• Support RFI, submittal, closeout, punch list, warranty, and project documentation processes.
• Coordinate with internal department heads in Asset Management, HR, IT, Estimating, Finance, Warehouse, and Operations to keep projects moving smoothly.
• Participate in leadership meetings and provide clear updates on project status, labor needs, schedule risks, financial position, obstacles, and next steps.
• Report project metrics weekly to leadership, ensuring transparency, accountability, and early awareness of project risks.
• Help prioritize tasks, resources, and project needs to keep schedules on track and deadlines protected.
• Provide operational solutions for assigned projects and help remove obstacles that prevent field teams from performing efficiently.
• Network and build relationships that support client satisfaction, repeat business, and future growth opportunities for the branch.
• Manage warranty needs and ensure timely resolution of any project-related issues after completion.

Requirements and Qualifications:

• Bachelor's degree or equivalent time in service, trade experience, or industry experience.
• Minimum of 10 years of experience in the commercial HVAC, mechanical, or mechanical construction industry.
• At least 3 years of management experience in a project management, field leadership, operations, or similar construction leadership role.
• Strong understanding of commercial HVAC systems, mechanical systems, ductwork, piping, equipment installation, controls coordination, startup, scheduling, labor planning, materials, and project execution.
• Experience managing project budgets, labor hours, job cost, vendors, subcontractors, change orders, schedules, and client communication.
• Ability to read and interpret mechanical drawings, specifications, scopes of work, project schedules, submittals, RFIs, change orders, and construction documents.
• Strong communication skills with the ability to clearly convey project information to field teams, general contractors, owners, vendors, subcontractors, and company leadership.
• Strong planning, problem-solving, negotiation, and decision-making skills.
• Ability to motivate, coach, and develop others while holding teams accountable to project expectations.
• Comfortable managing multiple projects, priorities, deadlines, and project demands at the same time.
• Strong organizational skills and ability to follow through on documentation, reporting, communication, and commitments.

Preferred Experience:

• Commercial mechanical project management experience in healthcare, K-12, higher education, government, industrial, commercial, or institutional construction.
• Experience managing projects involving HVAC equipment, ductwork, hydronic piping, gas piping, sheet metal, mechanical rooms, controls coordination, startup, TAB, and closeout.
• Experience working with general contractors, owners, engineers, inspectors, vendors, subcontractors, foremen, and superintendents.
• Experience with project management software, job costing tools, scheduling tools, construction documentation platforms, and Microsoft Office.
• Experience supporting prefabrication, warehouse coordination, material planning, equipment procurement, and vendor buyout.
• Experience leading or supporting field teams, foremen, apprentices, and technical workforce development.
