As we continue to grow, we are seeking an organized and detail-oriented Accounting Assistant to support our Director of Finance and HR.

Who You Are

We are seeking a detail-oriented and motivated accounting professional to join our growing team. This role will work closely with the Director of Finance and HR and be cross-trained in all core accounting functions, including accounts payable, accounts receivable, project accounting support, and timesheet review. The position will play a key role in maintaining accurate financial records, supporting monthly close, and ensuring the smooth operation of the accounting department.

This is an excellent opportunity for an accounting professional looking to expand their skills and gain exposure to the full accounting cycle within a professional services environment.

The Accounting Assistant willย be responsible forย the following focus areas:ย ย 

What You'll Do

Accounts Payableย 

  • Daily invoice intake, processing, and recording of cash transactionsย ย 
  • Weekly payment runs inย a timelyย andย accurateย mannerย 
  • Identifyingย opportunities to improve A/P workflows and efficienciesย 
  • Perform monthly account analyses and reconciliations, including credit card reconciliationsย ย 
  • Prepare monthly adjusting journal entries, as neededย ย 

Expense Reportsย & Timesheet Managementย 

  • Review and process employee expense reports on a bi-weekly basisย ย 
  • Ensure accuracy and proper general ledger (GL) codingย 
  • Post weekly timesheets and review for completeness and accuracyย 
  • Send weekly reminders to staff for timesheet submissionsย 
  • Monthly project expenses reviewsย ย 
  • Coordinate with Project Managers to ensureย timelyย andย accurateย expense reporting.ย ย 
  • Continue to develop and improve the Expense Report processesย 

Accounts Receivable / Project Costingย 

  • Workย closelyย in conjunction with theย Billing Clerk and Director of Finance & HR to execute Accounts Receivableย and Project Costingย tasksย 
  • Maintain project billing data, including contract values and amendmentsย 
  • Draft client invoices, including compiling and attaching required backup documentationย 
  • Follow up with consultants on missing invoices or required documentationย 
  • Process and apply cash receiptsย 
  • Monitor AR aging and support collections follow-upย 
  • Respond to client billing inquiries and coordinate issue resolutionย 

Additional Supportย ย 

  • Assistย withย month-end close processesย 
  • Support during year-endย auditย and any other statutory audits.ย 
  • Support payroll preparation and review as needed
What You Bring
  • Proficient inย MS Office Suite,ย andย Adobe Acrobatย

Education and Experience:ย ย 

  • Bachelors' degree in Accounting, Finance or Business Administration preferredย 
  • 2+ years' experience in a role of similar capacityย
