Job description

Summary

The Contract Logistics Coordinator is responsible for ensuring the accurate execution of contractual and logistical requirements throughout the outbound production flow. Duties include assigning Contract Line Item Numbers (CLINs), coordinating transportation, managing documentation, and maintaining communication with internal teams and external subcontractors. The role also coordinates off-site processing (e.g., chemical treatments and finishing) and ensures that once completed, the external processor ships directly to the customer's depot according to contract specifications and other duties as assigned.

Essential Duties and Responsibilities

1. Contract Compliance and CLIN Management

  • Assign corresponding CLINs to all outbound orders in accordance with contract terms and Delivery Orders (DOs).
  • Verify alignment between DOs, internal shipping documents, and production requirements.
  • Maintain complete, accurate, and auditable CLIN records.
  • Serve as a coordination point with the Contract Management team to provide order status, acceleration requests, and required delivery documentation (e.g., POD).
  • Respond promptly to documentation and status requests and escalate discrepancies.
  • Perform other duties as assigned.

2. Coordination with Subcontractors and External Processing

  • Coordinate material and product movement between Goodwill and subcontractors (treaters, finishing, external sewing).
  • Monitor subcontractor status, including receipts, WIP, and completed lots.
  • Ensure subcontractors meet schedules, quality, and contractual requirements.
  • Maintain documentation for all subcontractor transfers.
  • Perform other duties as assigned.

3. End-to-End Logistics Management

  • Plan and coordinate logistics from production completion through delivery to the customer's depot.
  • Arrange transportation to subcontractors and coordinate direct shipment from the processor to the customer depot.
  • Track shipments and ensure compliance with lead times and delivery windows.
  • Collaborate with Planning, Production, QC, and Shipping to ensure readiness, to escalate risks or incidents promptly.
  • Perform other duties as assigned.

4. Documentation, Traceability, and Record Control

  • Maintain shipping files, subcontractor records, PODs, and contract-required documentation.
  • Ensure completeness and accuracy of all shipping and subcontracting documents.
  • Prepare shipment status reports and subcontractor performance summaries.

5. Communication and Issue Resolution

  • Serve as the point of contact for logistics-related contract inquiries.
  • Communicate daily with Contract Management, Planning, Shipping, and QC.
  • Support root-cause investigation and corrective actions.

6. Vendor Coordination and Subcontractor Performance

  • Manage operational relationships with carriers, treaters, and subcontractors.
  • Confirm compliance with quality, safety, and responsiveness standards.
  • Address capacity limitations and bottlenecks in material flow.
  • Assign appropriate Contract Line-Item Numbers (CLINs) to outbound orders in accordance with contractual terms.
  • Maintain continuous communication with the Contract Management department to ensure delivery order alignment and resolve discrepancies.
  • Coordinate end-to-end transportation logistics, from shipment initiation through release to final delivery at client depots.
  • Track and monitor shipment progress, ensuring timely delivery and accurate documentation.
  • Act as the primary point of contact for contract-related logistics inquiries.
  • Collaborate with internal departments to support seamless order fulfillment and delivery operations.
  • Identify, escalate, and assist in resolving issues that may impact contractual compliance or delivery timelines.
  • Serve as the point of contact for coordination involving subcontractors.
  • Perform other duties as assigned.

Education and/or Experience:

  • Bachelor's degree in supply chain management, Logistics, Business Administration, or related field.
  • Minimum 3 years of experience in logistics coordination, contract management, or order fulfillment.
  • Preferably, experience working in a manufacturing environment is required.
