About Outright International

Founded in 1990, Outright Action International strives to help lesbian, gay, bisexual, transgender, intersex, and queer (LGBTIQ) people live safer, healthier, and more empowered lives worldwide. With staff in 18 countries and global headquarters in New York City, Outright documents human rights violations, helps resource LGBTIQ movements and allies, and advocates for the rights of LGBTIQ people.


Reporting to the Director of Development, the Development Assistant is a key member of Outright's Development team, providing administrative and operational support across donor database management, fundraising operations, individual giving, events, and donor stewardship. The role works closely with the Senior Database Manager and the Director of Leadership Giving, and coordinates regularly with Finance, Operations, Communications, and external vendors. This role offers a strong foundation in nonprofit fundraising operations, donor systems, and donor engagement, within a collaborative, cross-functional Development team.


The position is based in New York City with a hybrid schedule and regular in-person responsibilities, including occasional evening and weekend work for donor events and occasional travel outside New York City.


Responsibilities

Gift Processing, Acknowledgement, and Database Management

  • Ensure the timely collection, opening, documentation, and processing of checks and other gifts received at Outright's offices, and communicate relevant information promptly to the Senior Database Manager and other relevant personnel.
  • Accurately collect, deposit, record, and confirm donations of various sizes.
  • Manage timely and accurate donor receipts and acknowledgements for gifts within an assigned range (e.g., $0-$2,499), escalating higher-level gifts as appropriate.
  • Working closely with the Senior Database Manager, maintain, update, and ensure the accuracy of donor database records, including data entry, list segmentation, data cleanup, and database-related projects.
  • Maintain accurate information in Development's financial reconciliation tools and trackers, and support regular Development-Finance reconciliation processes and resolution of discrepancies.
  • Maintain organized electronic and physical documentation related to gifts and donor records.
  • Assist with monitoring online giving platforms and other incoming gift channels as assigned.
  • Create fundraising reports and other donor/database reports as needed for frontline fundraisers and for email and direct mail marketing.
  • Coordinate with the organization's state registration consultant to maintain charitable registration compliance across all required states.


Administrative and Departmental Support

  • Provide administrative and clerical support to the Director of Development and the Director of Leadership Giving, including scheduling, contract processing, and other administrative tasks.
  • Assist with Development calendars, trackers, project-management systems, files, documentation, and other shared administrative resources.
  • Help maintain data quality and consistency across Development systems, assist colleagues in navigating established processes, and help route more complex requests to the appropriate team member.
  • Maintain documentation of recurring processes and contribute to improvements that make Development operations more efficient and effective.


Individual Giving and Donor Communications

  • Assist with donor correspondence, mailings, digital appeals, acknowledgements, and other individual giving communications.
  • Support maintenance of donor and prospect records, portfolios, lists, and activity tracking.
  • Assist with direct mail, digital fundraising, and other individual giving campaigns, including administrative coordination with external vendors and consultants as requested.
  • Provide administrative support for donor meetings, briefings, cultivation opportunities, and follow-up.
  • Assist with CRM-based donor research and data.


Events and Donor Engagement

  • Assemble donor materials, gift bags, and informational kits for events and meetings.
  • Assist with in-person and virtual event logistics, including the annual gala, donor events, and webinars - covering invitations, RSVP tracking, guest lists, registration, and materials development.
  • Provide on-site administrative support before, during, and following events, as required.
  • Support post-event data entry, reconciliation, gift acknowledgement, and data required for follow-up communications.
  • Other duties as assigned.


Qualifications

  • 2-5 years of professional experience working in a nonprofit, fundraising, or administrative setting.
  • Demonstrated ability to manage detailed administrative work accurately and consistently.
  • Proven ability to work efficiently and collaboratively with multiple stakeholders, manage competing priorities, and contribute as a committed team member.
  • Strong written and verbal communication skills, with the ability to present information clearly and concisely.
  • Highly organized, with strong attention to detail and the ability to manage multiple tasks and prioritize effectively.
  • Self-motivated and able to work independently while also collaborating as part of a small team.
  • Strong interpersonal skills and a professional, positive demeanor.
  • Ability to handle donor and organizational information with discretion and confidentiality.
  • Knowledge of or demonstrated interest in LGBTIQ+ issues, human rights, gender, international development, or related areas.
  • Experience with donor databases, constituent relationship management systems, online fundraising platforms, and project-management tools preferred (e.g., Fundraise Up, DonorPerfect, HubSpot, Monday.com, Google Workspace, Slack, Zoom).
  • Experience supporting direct mail, digital fundraising, donor communications, or individual giving programs is an asset.
