Role Overview

This role supports the planning, execution, and closeout of construction and capital improvement projects on behalf of the owner. Working closely with the Project Manager and project stakeholders, this role assists in coordinating contractors, architects, engineers, consultants, and owner-direct vendors to ensure projects are delivered safely, on schedule, within budget, and in alignment with project objectives. Responsibilities include supporting project scheduling, budget tracking, contract administration, permitting, document control, change management, progress reporting, and closeout activities. The Assistant Project Manager serves as a key liaison among internal and external teams, helping to resolve project issues, maintain effective communication, monitor project performance, and ensure compliance with contractual, quality, and safety requirements throughout the project lifecycle.


Responsibilities

Prior to onsite General Contractor (GC) activity:

  • Work with GC to create and establish the Master Project Schedule, based on the Critical Path and key milestones. (P6 cost/resource loaded schedule)
  • Create and establish the Master Project Budget, including soft costs and hard costs, bonds, insurance, contingencies, allowances, etc.
  • Support Contractor pre-qualification, bid solicitation, bid analysis, and recommendations
  • Support Contract negotiation, typically in concern with the Client’s PM and legal counsel, including establishment of all GC “business terms” including mark-ups, fees, insurance, labor rates, escalation, etc.
  • Coordinate Design Team activities supporting Client PM
  • Ensure AE is completing the complete list of City and/or other Authority approvals process, permitting, etc.
  • Coordinate the GC and AE to ensure all necessary permits are submitted and received from authorities having jurisdiction.
  • Coordinate Constructability review of the project documents
  • Provide / Gather cost estimates working with subs and other vendors for scope gaps/changes
  • Coordinate Value Engineering effort
  • Produce Cash flow projections on a monthly basis
  • Assist client in identifying, scoping, buying-out and scheduling of all Owner-direct vendors and consultant

During onsite GC activity:

  • Manage General Contractor and other directly contracted vendors in execution of the project.
  • Manage execution of atypical or partial scopes of work. For example, offsite road and infrastructure improvements, wetland mitigation, Corpnet installation, office expansions
  • Manage Cost / Change Control, including change order review, negotiation & recommendations, or delay analysis
  • Coordinate and explore value Engineering opportunities.
  • Problem-solve issues to ensure project meets delivery dates.
  • Assist with coordination and issue resolution between GC and AE or among other project trade partners. Consult with owners electrical, mechanical, and other specialty engineers on technical issues
  • Budget Management and Budget Tracking
  • Assist with streamlining internal communication processes, provide a single point of contact, and ensure that Owner’s Program Manager (“DC PMs”), Owner’s Representatives, Scheduler, and all external design consultations are aligned as project issues arise
  • Schedule monitoring, tracking, and analysis to ensure project is delivered on time.
  • Document control (track and coordinate addenda, bulletins, new drawing sets, clarifications, etc.)
  • Ensure QA/QC is being followed and report any issues/gap
  • Invoice / Payment Application processing, tracking and reporting
  • Tracking of all key project documents, including submittals, RFI’s, change orders, invoices and payments, lien releases, etc.
  • Ensure that the general contractor submits all of the required monthly reports in accordance with contract required timelines, and that all reports are properly distributed to essential project personnel. The reports include:
  • Weekly Reports
  • Monthly Reports
  • Progress Payment Request with supporting reports
  • P6 Schedule files
  • Schedule Narrative
  • Equipment Log
  • Update internal “Program Dashboard” regularly with milestones, and various project-related metrics
  • Perform Periodic site walks to ensure safe best practices and make behavioral-based safe observations.
  • Attending pre-construction meetings to review contractor and subcontractor safety plans and installation methods.
  • Review contracts and change orders for correct formatting and scoping. Ensure timely execution of contracts and coordinate with commercial operations teams.
  • Assist with coordinating all reconciliation efforts to resolve inconsistencies in the contractor’s monthly data that arise during the progress payment and schedule reviews
  • Ensure internal and external teams and vendor partners have proper access to documents
  • Assist contractors with provisioning employees

During Close out / Fit Up:

  • Initiate close out process prior to project completion, typically two to three months in advance
  • Establish close out documentation requirements. Collect and track receipt of all close out documents until completion, including warranties, as-builts, O&M manuals, etc.
  • Assist with City and/or other Authority final inspections and occupancy process
  • Manage punch list, substantial completion and final completion process
  • Negotiate, resolve and close out any outstanding change orders, quality issues or disputes
  • Process and track any final invoices, payment applications, retention payments, etc.
  • Prepare and submit final project accounting and budget
  • Assist client in scheduling, coordination and management of all Owner direct vendors, consultants
Requirements:

Qualifications

  • Minimum 4 years of relevant experience in an Assistant PM role
  • GC experience preferred / solid construction background
  • Mission-critical (data center specific) experience
  • Local to the site (within 150 miles)
  • Demonstrated experience dealing with local AHJs
  • 100% dedicated to the project and client!

Work Location/Travel Expectations

Primarily on-site at construction projects, with some office work for reporting and documentation.

Travel may be required depending on project locations
