About the Role

We're looking for a highly organized, proactive, and motivated Executive Assistant to support the CEO in a fast-paced music industry environment. This is an entry-level opportunity ideal for someone passionate about music, live events, artists, and entertainment who is looking to build a long-term career in the industry.

The Executive Assistant will play a key role in helping manage the CEO's day-to-day operations, communications, scheduling, and priorities while supporting broader company initiatives and internal teams.


Key Responsibilities

  • Manage the CEO's calendar, scheduling, and meeting coordination
  • Coordinate internal and external communications on behalf of the CEO
  • Organize travel, accommodations, itineraries, and logistics
  • Prepare meeting notes, agendas, follow-ups, and action items
  • Help prioritize tasks and maintain organization across multiple projects
  • Organize documents, assets, spreadsheets, and internal systems
  • Assist with presentations, research, and administrative projects
  • Provide day-to-day operational and personal administrative support to the CEO
  • Handle sensitive information with professionalism and confidentiality
  • Support ad hoc tasks, urgent requests, and evolving business needs as they arise


Qualifications

  • Recent graduate with a BA/BSc degree or equivalent practical experience
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • High attention to detail and strong follow-through
  • Ability to remain calm and adaptable in fast-paced environments
  • Strong sense of professionalism, discretion, and reliability
  • Passion for music, live events, and entertainment culture
  • Comfortable managing shifting priorities and deadlines
  • Ability to work independently and proactively anticipate needs
  • Previous internship, hospitality, administrative, event, or music industry experience is considered an asset, but not required
  • Prior experience in executive support or administrative coordination is an asset
  • Comfortable working in a technology-focused environment
  • Basic familiarity with automation or scripting tools (e.g., Python, APIs, AI tools) is considered an asset


Requirements

  • Must be based in downtown Toronto or the immediate city area
  • Must be available to work in-office 5 days per week
