GA Telesis is seeking a Marketing & Events Coordinator to join our Marketing Department at our Fort Lauderdale, FL office. This in-person position offers the opportunity to plan, coordinate, and execute customer-facing events, industry activities, Charitable Fund Activities, and assist the Marketing Department with projects.

Reporting directly to the Head of Global Marketing, the Marketing & Events Coordinator will work closely with the marketing and design teams, division presidents, and other internal and external partners to ensure smooth event execution, consistent brand representation, and successful outcomes. The ideal candidate is highly organized, detail-oriented, comfortable managing multiple priorities, and able to adapt quickly in a fast-paced environment. This is an on-site position based in Fort Lauderdale, Florida.

Responsibilities and Duties
  • Partner closely with each division to coordinate attendance, travel, lodging, sponsorships, registrations, and on-site requirements for external industry events (customer charity golf tournaments) and coordinating internal charity events.
  • Manage customer- facing event timelines, deadlines, and deliverables to ensure all preparations are completed accurately and on schedule.
  • Assist with required preparations, documentation, and compliance processes for domestic and international events.
  • Provide support for trade show events as needed, including pre-event coordination, trade show booth preparation, and on-site assistance.
  • Coordinate with internal and external designers to develop event graphics, advertisements, signage, invitations, and distribution of promotional materials.
  • Plan, coordinate, and execute all logistical aspects of customer events from initial concept through completion, helping create seamless and successful experiences.
  • Research and coordinate event venues, hotels, restaurants, transportation, catering, audiovisual needs, and other vendors contractual requiremtents.
  • Develop, manage, track, and reconcile the annual events budget in partnership with the Head of Global Marketing.
  • Prepare and update weekly expense reports and help track departmental event-related spending.
  • Support the planning, coordination, and on-site execution of GA Telesis' Annual Charity Golf Tournament.
  • Coordinate outside sales team initiatives, marketing research initiatives, and marketing department initiatives.
Qualifications and Skills
  • Bachelor’s degree in marketing, Communications, Event Management, Hospitality, or a related field.
  • Exceptional organizational and time management skills, with the ability to manage multiple events, projects, deadlines, and details simultaneously.
  • Proven ability to work effectively under tight time constraints while maintaining accuracy, organization, and attention to detail.
  • Ability to quickly adapt to last-minute changes, urgent requests, and shifting priorities in a fast-paced environment.
  • Excellent written and verbal communication skills, with the ability to communicate clearly, professionally, and confidently.
  • Strong interpersonal and vendor management skills, including professional communication and coordination with hotels, venues, restaurants, event organizers, vendors, and other external partners.
  • Strong project management skills with the ability to prioritize tasks, follow through on deliverables, and ensure deadlines are met.
  • Creative and solutions-oriented approach to problem-solving, particularly when unexpected event or logistical challenges arise.
  • Ability to work collaboratively as part of a team while also independently managing assigned projects and responsibilities.
  • Ability to visualize and evaluate event space flow, guest and presenter experience, food and beverage presentation, audiovisual requirements, appropriate sound levels, and overall event atmosphere.
