About the Role

We're looking for a Closing Agent to shepherd yacht and ship transactions from signed contract all the way through funding, title transfer, and final delivery. You'll be the person who keeps the deal safe — making sure escrow is handled properly, paperwork is filed correctly, deadlines don't slip, and everyone involved (buyer, seller, broker, lender, surveyor, documentation agent) always knows the next step.

This role fits someone who genuinely enjoys a well-organized file. Vessel deals come with layers that a typical home closing doesn't: Coast Guard title records, preferred ship mortgages, multi-state tax questions, international or foreign-flag deliveries, and survey results that can reopen pricing discussions right before closing. You'll have real ownership over making sure that process runs the right way.

What You'll Do

  • Own closing files start to finish — from signed Purchase and Sale Agreement through funding, title transfer, and post-closing document delivery
  • Manage escrow in line with Florida yacht and ship broker trust account rules: deposits, disbursements, closing statements, reconciliation
  • Draft and review closing paperwork — bills of sale, closing statements, vessel acceptance forms, and USCG National Vessel Documentation Center filings
  • Keep tabs on contingencies and deadlines: vessel acceptance, survey/sea trial windows, financing and insurance conditions, deposit timing
  • Order title abstracts and lien searches; secure payoff letters and mortgage satisfactions
  • Liaise with marine lenders, escrow/title agents, documentation agents, surveyors, transport companies, and attorneys
  • Handle state titling and registration, sales/use tax questions, and paperwork for offshore closings, foreign-flag vessels, and cruising permits
  • Confirm wire instructions and apply fraud-prevention safeguards on every transfer
  • Keep accurate, audit-ready records in the company's CRM and document systems
  • Partner with Broker Liaisons to keep listings and client files current
  • Troubleshoot issues from survey findings, renegotiations, funding delays, or post-closing fixes
  • Suggest and help build better closing checklists, templates, and processes

What You'll Need

  • 3+ years coordinating closings or transactions — marine brokerage, real estate/title closing, escrow, or financial services
  • Solid understanding of escrow/trust accounting, disbursements, and payment verification
  • A track record of juggling multiple deals at once without dropping deadlines or details
  • Strong written and verbal communication with clients, brokers, and outside professionals
  • Comfort with standard office tools, e-signature platforms, and digital document management
  • Eligibility to work in the U.S. and ability to work on-site in Stuart, FL

Nice to Have

  • Background in marine, yacht, or ship brokerage; familiarity with IYBA forms, USCG documentation, Florida vessel titling, and marine sales/use tax
  • Experience working with marine lenders or other secured lending, with an eye for compliance and risk
  • Florida notary commission (or willingness to get one)
  • HubSpot or similar CRM experience
  • Degree or coursework in business, finance, paralegal studies, or a related field
