Executive Assistant- Commercial Real Estate
Pay: $60,000-$65,000 annually (DOE)
Schedule:
Full-time | In-office
Hours: Monday–Friday, 8:00am-5:00pm

Emerald Staffing is conducting a confidential directhire search on behalf of a highly respected and wellestablished commercial real estate firm located in downtown Portland. Known for its collaborative culture, professionalism, and strong local market presence, this organization offers stability and longterm growth opportunities.
Position Summary-
The Executive Assistant will provide highlevel administrative and transaction support to a fastpaced commercial brokerage team. This role is essential to managing real estate documentation, supporting marketing initiatives, and ensuring transactions move smoothly from start to finish. The ideal candidate is detailoriented, highly organized, and comfortable working in a deadlinedriven environment while handling confidential information.

Essential Job Duties-
  • Prepare, edit, and proofread correspondence, reports, and presentations
  • Draft and coordinate transaction documents, including LOIs, Listing Agreements, Representation Agreements, and Purchase & Sale Agreements
  • Manage transaction documentation from initiation through invoicing
  • Partner with internal marketing to create and update brochures, offering memorandums, pitch books, tours, maps, and property photos
  • Maintain client, prospect, and lease databases
  • Ensure quality control and confidentiality of sensitive materials
  • Manage calendars, meetings, and scheduling via Zoom and Microsoft Teams
  • Conduct property research for reports and presentations
  • Coordinate signage orders and ongoing maintenance
  • Provide backup coverage for other administrative staff as needed


Requirements-
  • Commercial real estate experience strongly preferred
  • Exceptional written and verbal communication skills
  • Strong organizational skills with acute attention to detail
  • Ability to manage multiple priorities and meet deadlines
  • Professional demeanor with a high level of discretion
  • Proficiency in Microsoft Excel, Word, Outlook, PowerPoint, and OneDrive
  • Experience with Adobe applications and
