Position Summary

The Customer Operations Coordinator plays a vital role in delivering an exceptional customer experience from initial inquiry through final product delivery.

Rather than working in a traditional call center environment, you'll coordinate complex customer orders, collaborate with Engineering, Production, Quality, Shipping, and Sales teams, and ensure every order is accurate before entering into production.

This position is ideal for someone who enjoys balancing customer relationships with operational excellence while working in a fast-paced manufacturing environment.

Success in this role requires strong organization, attention to detail, critical thinking, and the ability to manage multiple priorities with confidence.


What You'll Do

Customer Relationship Management

  • Serve as the primary point of contact for customer inquiries via phone, email, live chat, and in person.
  • Build trusted relationships by providing responsive, professional service.
  • Keep customers informed throughout the order lifecycle.

Order & Account Management

  • Prepare, review, and process customer quotes and sales orders.
  • Verify order accuracy including pricing, quantities, specifications, and shipping requirements.
  • Manage order revisions, cancellations, returns (RMA), and customer requests.
  • Coordinate payment processing and customer documentation.

Cross-Functional Coordination

  • Partner with Engineering, Technical Sales, Production, Quality, Shipping, and Purchasing to ensure customer requirements are accurately translated into manufacturable solutions.
  • Communicate changes and priorities across departments.
  • Assist with government solicitations and customer-specific requirements when applicable.

Systems & Process Management

  • Maintain accurate customer and order information within Microsoft Dynamics CRM/ERP.
  • Monitor open orders and proactively resolve issues before they impact delivery.
  • Identify opportunities to improve processes and enhance the customer experience.
  • Maintain organized documentation and records.

Qualifications Required

  • Experience using CRM and/or ERP systems in a professional environment.
  • Strong Microsoft Office skills, including Outlook, Excel, and Word.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to prioritize multiple tasks while maintaining accuracy.
  • Demonstrated problem-solving and critical-thinking abilities.

Preferred

  • Experience supporting manufacturing, industrial, aerospace, medical device, electronics, or engineered products.
  • Experience with Microsoft Dynamics or similar ERP systems (SAP, Oracle, Epicor, NetSuite, Infor, etc.).
  • Experience supporting customized or engineered-to-order products.

Environment / Physical Demands:

While performing the duties of this job the employee will work in a multi-occupied open office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. The position involves sitting, talking and, hearing throughout the 8-10-hour shift. Physical Demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a step ladder or climb stairs as necessary. This position requires the ability to occasionally lift office products and supplies, up to 24 pounds.
