Job description

We are seeking a highly organized, detail-oriented Mandarin-speaking Administrative Coordinator to support a fast-paced real estate team. This role is primarily administrative, with exposure to both day-to-day operations and high-end luxury listings, including a $56M listing coming to market soon. It is ideal for someone who thrives behind the scenes, enjoys managing logistics, and communicates effectively in both English and Mandarin.
$50,000 - $250,000 a year

Operations & Administrative Support

Provide comprehensive administrative support to the team across buyer and seller transactions, including:

  • Managing incoming buyer and seller inquiries and routing leads appropriately

  • Assisting with transaction coordination from offer through closing

  • Preparing documents, disclosures, and internal tracking systems

  • Supporting listing preparation, including gathering property details and organizing marketing materials

  • Maintaining accurate client records and databases

Showing & Scheduling Coordination

  • Coordinate and schedule all property showings on behalf of the team

  • Communicate with clients, agents, and listing contacts in both English and Mandarin when needed

  • Confirm appointments, manage calendar logistics, and ensure scheduling accuracy

  • Prepare detailed showing itineraries and access instructions

  • Troubleshoot scheduling conflicts and last-minute changes efficiently

Client & Team Communication

  • Serve as a key point of contact for client communication, particularly for Mandarin-speaking clients

  • Provide timely updates to clients, agents, and team leads

  • Assist with follow-up communication after showings and client interactions

  • Ensure a high level of professionalism and responsiveness at all times

Marketing & Listing Support

  • Assist with listing coordination, including marketing timelines and material preparation, specifically for a $56M listing coming to market soon. 

  • Support both entry-level and luxury listings, including high-profile properties

  • Coordinate with photographers, staging companies, and marketing vendors

  • Help manage online listings and ensure accuracy across platforms
