Job description

The Los Angeles office of Willkie Farr & Gallagher LLP is looking for a Case Assistant to support the Private Clients group, specifically working in Trusts and Estate Planning. Willkie is an elite international law firm of approximately 1,300 lawyers located in 16 offices in six countries. 

The Case Assistant role involves processing executed estate planning documents, maintaining the Will Safe database, client correspondence, and file organization across electronic and hard copy formats. The ideal candidate is detail-oriented, highly organized, and capable of handling confidential materials with the utmost discretion.

  • Process executed estate planning documents, including making copies, scanning, preparing estate planning binders, entering information into the Will Safe database, preparing folders for original documents, and ensuring original documents are properly stored in the Will Safe
  • Draft, format, and finalize client letters for attorney approval, and coordinate delivery via USPS, FedEx, or other courier services
  • Manage file projects in both electronic and hard copy formats, maintaining accurate and organized records
  • Assist administrative staff with opening client files and preparing materials for execution meetings
  • Provide overflow support as needed
  • Perform other duties as assigned

  • Bachelor’s Degree preferred
  • Proficiency in Microsoft Office Suite required
  • High level of discretion while working with sensitive information and documents
  • Ability to communicate effectively with all levels of firm personnel
  • High level of professionalism and excellent customer service skills
  • Ability to work independently and as part of a team
  • Excellent organizational skills and attention to detail
  • Ability to work efficiently and accurately in a fast-paced environment
  • Solid time management and prioritization skills

  • Ability to sit at a desk most of the working day and walk short distances
  • Needs manual dexterity, speed and accuracy in handling office equipment
  • Ability to work efficiently and accurately in an atmosphere of frequent interruption
  • Ability to work in close proximity to other individuals
  • Ability to carry light objects, e.g., files, small objects and supplies a short distance.
  • Must be able to lift, carry and move objects up to 40lbs.

USD $55,000.00 - USD $58,000.00 /Yr.

The salary range for this role represents the Firm’s good faith and reasonable estimate of the range of possible compensation at the time of posting. Actual compensation will be dependent upon a number of factors, including but not limited to, the candidate’s relevant experience, qualifications and location.
