Executive Assistant & Office Lead – Premier Private Equity Firm

$110,000 to 120,000 base DOE + Discretionary Bonus + Fully Paid Benefits

A growing boutique Private Equity firm is seeking an autonomous, high-impact Executive Assistant to serve as the foundational administrative lead for their brand-new Midtown Manhattan office. This role is perfect for a proactive self-starter who enjoys running an office environment—balancing high-level executive support with the operational management required to keep a beautiful workspace running.

Location: Midtown East— Hybrid (4 days onsite / Fridays remote)

Key Responsibilities

  • Executive Support: Provide high-touch support to a team of 4, including complex calendar management, domestic/international travel, and expense processing.
  • Office Ownership: You will manage the front desk, oversee daily operations, and ensure a professional, welcoming experience for all visitors.
  • Logistics & Catering: Coordinate daily catered lunches, manage kitchen and office supply inventory, and handle all mail and shipments.
  • Event Planning: Support the planning and execution of internal team events and high-profile client meetings, including all logistical coordination and catering.
  • Technical Troubleshooting: Serve as the onsite point person for light IT support (Zoom/Teams setup, conferencing systems, and printers), partnering with the global IT team for complex issues.
  • Culture Carrier: Contribute to building a professional, collaborative, and high-performance environment as the NYC team establishes its local presence.

The Ideal Candidate

  • Experience: 3+ years of experience in an administrative or front-office role, ideally within Private Equity, Finance, or a high-growth tech environment.
  • Mindset: Proactive, self-directed, and solutions-oriented.
  • Discretion: Exceptional judgment and the ability to handle sensitive and confidential communications.
  • Communication: Polished and professional with the confidence to engage senior stakeholders and external partners effectively.
  • Technical Savvy: Proficient in Microsoft Office (Outlook, Teams), Zoom, and ideally CRM or expense management tools (SugarCRM, Concur, Navan).
