Job description

Administrative Specialist II (S)

To provide a solid Human Resource management foundation, responsible oversight, and creative solutions through a collaborative approach with all stakeholders to maximize the potential of our greatest asset – OUR EMPLOYEES.

This position will report directly to the security manager and will be responsible for various administrative duties.

Effective July 1, 2025, candidates now meet the minimum qualifications of a position if they have the minimum education and experience listed from the class specification. The Knowledge, Skills, and Abilities listed within this vacancy announcement will be used only as management preferences and will be used to screen for the most qualified pool of applicants.

Management Preferences:

  • Fill in when the visitor coordinator is not available
  • Process all invoices that are related to the security operations, to include stamping and obtaining management signature, not to include FACS quotes and invoices
  • Review security procedures for accuracy and substance
  • Field customer requests and needs (walk-ins and calls) and direct questions to the security operating center or resolve as needed
  • Receive and file all requests for keys, locks, and any other door-related needs
  • The single point of contact for DOA
  • Manage the lost & found process
  • Submit service tickets to facilities management
  • Review and process all SBI reports and filing for record purposes
  • Act as one of two parking coordinators
  • Act as a scribe during specific meetings, documenting conversations, filing, and following up with management as needed
  • Annual review of devices with asset tags
  • Responsible for addressing concerns and overseeing the visitor's front lobby desk
  • Order office supplies as needed
  • DOA's point of contact when orders are received to lower the State and/or the American Flag
  • The duty assignments and responsibilities listed are not conclusive and shall be modified as the security manager deems necessary.

Minimum Education and Experience:

High school diploma or General Educational Development (GED) diploma and four years of related administrative experience; or equivalent combination of education and experience.
