What You’ll Do
As a Imaging Clerical Rep, you will report to the Manager of Imaging Informatics and monitors the daily function of the Imaging Applications. Interacts with internal and external customers for training or issue resolution.
Imaging Clerical Rep Job Responsibilities:
Key Responsibilities
- Provide administrative and front-desk support for Imaging department, including answering phones, greeting visitors, and directing inquiries.
- Coordinate minor projects and support supervisors with tracking and follow-up to ensure timely completion.
- Train and orient new staff on departmental procedures and office operations.
- Operate standard office equipment and maintain general office workflow.
Patient Registration & Financial Processes
- Register patients by accurately collecting and entering demographic, physician, and insurance information into hospital systems.
- Verify and update patient information, insurance eligibility, and coverage using online tools and payer systems.
- Explain insurance requirements, including pre-certification and coverage limitations, to patients and referring offices.
- Validate medical necessity and complete required compliance documentation (e.g., ABN, MSP forms).
- Collect copayments, deductibles, and other patient payments; post transactions and issue receipts.
- Obtain necessary documentation, including IDs, insurance cards, and consent/authorization forms.
Insurance Verification & Authorization
- Coordinate verification of benefits (VOB) and prior authorization/pre-certification processes.
- Communicate with physician offices and insurance companies to ensure required approvals are obtained.
- Document all authorization and benefit details within system applications.
- Prepare and provide patient cost estimates when applicable.
Clerical & Operational Support
- Maintain accurate patient accounts to ensure proper and timely claims processing.
- Manage logs, records, and departmental documentation in compliance with policies.
- Support departmental operations through additional administrative duties as assigned.
Systems & Technical Responsibilities
- Maintain and update EMR systems (PACS, Cerner, Aspen) including:
- Image management, labeling, and transfers
- Patient record updates and account merges
- Scheduling, appointment management, and order corrections
- Documentation, scanning, and communication tracking
- Ensure accuracy and completion of worklists, QA activities, and reporting processes.
Training & Development
- Participate in required meetings, trainings, and competency assessments.
- Assist in onboarding and cross-training staff across office and reception functions.
- Stay current with system updates and digital imaging advancements.
Customer Service & Performance
- Deliver high-quality, patient-centered service and act as a professional representative of the organization.
- Support departmental quality goals and productivity targets.
- Communicate effectively with leadership regarding issues or process improvements.
- Maintain professionalism in all patient and team interactions.
What You Bring
As an Imaging Clerical Rep, the ideal candidate demonstrates the ability to learn and apply anatomy, radiology terminology, and medical abbreviations, while possessing strong verbal and written communication skills to effectively interact with diverse internal and external stakeholders. They are detail-oriented, team-focused, and capable of exercising sound judgment in alignment with organizational policies and procedures. Proficiency in computer systems and standard software is required, along with the ability to manage multiple priorities, troubleshoot technical issues, and efficiently complete tasks. Additional strengths include effective phone communication, training and presentation abilities, and a solid understanding of testing and quality control processes.
Required Qualifications
- The knowledge, skills and abilities as indicated below are acquired through the successful completion of a high school diploma or equivalent is preferred.
- Must be a minimum of 17 years of age.
- Experience with Computer Applications and Information Systems Applications preferred. One to two years of job-related experience is preferred.
- Strongly prefer two to three years’ experience in a healthcare setting.
- Understanding of Dicom computer language preferred.
- Medical Terminology and Radiology environment experience preferred.
- Use of applications listed in essential job duties can be acquired through on-the-job training.
