Job description

Our client, a growing organization in the manufacturing and industrial sector, is seeking a detail-oriented and proactive Purchasing & Operations Support Specialist to join their team. This position plays a critical role in supporting purchasing, inventory management, and operational processes to ensure materials, data, and documentation flow efficiently throughout the organization.

The ideal candidate is highly organized, comfortable working across multiple departments, and capable of managing competing priorities in a fast-paced environment. This role requires strong communication skills, attention to detail, and a commitment to accuracy.

Key Responsibilities

Purchasing & Supplier Coordination

  • Manage day-to-day purchasing activities to support production and operational needs.
  • Communicate with suppliers regarding pricing, availability, lead times, and order status.
  • Prepare and place purchase orders accurately and in a timely manner.
  • Coordinate shipment routing and delivery schedules to ensure timely receipt of materials.
  • Review and reconcile supplier invoices, resolving discrepancies as needed.
  • Maintain strong supplier relationships to support cost-effective and reliable procurement.

ERP & Quality System Administration

  • Maintain accurate purchasing and inventory data within ERP and QMS systems.
  • Update purchase order dates, pricing information, vendor records, and product data.
  • Ensure price lists and purchasing records remain current and accurate.
  • Support data integrity initiatives and continuous improvement efforts related to operational systems.

Inventory & Operations Support

  • Assist with inventory monitoring and replenishment activities.
  • Help maintain optimal inventory levels while minimizing stockouts and excess inventory.
  • Support cycle counts, inventory audits, and reporting activities.
  • Collaborate with production, customer service, receiving, and quality teams to ensure operational efficiency.
  • Prepare purchasing, inventory, and operational reports for management review.

Quality & Documentation Support

  • Assist with maintaining quality assurance records and documentation.
  • Support compliance with internal procedures and quality management requirements.
  • Ensure documentation is complete, accurate, and readily accessible.

Success Measures

The successful candidate will contribute to:

  • Purchase orders being processed accurately and on schedule.
  • Inventory levels maintained with minimal stockouts.
  • ERP and QMS data remaining accurate and current.
  • Strong collaboration between purchasing, production, customer service, quality, and receiving departments.
  • Timely and accurate reporting to support business decisions.

Qualifications

Required

  • 2+ years of experience in purchasing, inventory management, operations support, or a related role.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Demonstrated attention to detail and commitment to accuracy.
  • Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.

Preferred

  • Experience in a manufacturing or industrial environment.
  • Experience working with ERP systems and quality management systems (QMS).
  • Knowledge of purchasing processes, inventory control, and supply chain operations.
