RESPONSIBLE FOR:

Project Management & Operations

  • Leads day-to-day management of client projects and internal workflows, ensuring clear communication, organized documentation, and on-time delivery across teams.
  • Works closely with the VP of Operations to create, maintain, and enforce operational processes
  • Acts as a filter for raising operational and client issues to leadership
  • Manages and coordinates multiple projects simultaneously
  • Keeps all project documentation, notes, and context organized and up to date
  • Manages project workflow in the project management system, including creating new projects and inputting critical details
  • Quickly, accurately, and efficiently passes context to team members for execution
  • Keeps social, editing, and production teams accountable to deadlines

Client Support & Communication

  • Serves as a primary point of contact for clients, ensuring a smooth and professional experience.
  • Assists with social media client and operational support
  • Facilitates meetings with clients
  • Manages onboarding processes for new recurring and podcast clients
  • Ensures editing teams have all required assets and specifications, including client files, brand guidelines, and deliverable details

Production & Studio Coordination

  • Supports podcast and studio operations to ensure seamless scheduling and execution.
  • Manages post-production queues and workflow
  • Maintains studio schedules for retainer and podcast clients
  • Onboards new podcast clients into studio and production processes
  • Compiles podcast studio billable hours and submits them to accounting
  • Shares responsibility for answering phones, responding to studio inquiries, and directing calls appropriately.

Office & Administrative Support

  • Welcomes guests into the studio and communicates arrivals to the team
  • Helps maintain a well-functioning, welcoming studio environment.
  • Manages internal crafty and supply inventory
  • Ensures office supplies are stocked
  • Handles Costco shopping and supply restocking as needed

REQUIREMENTS:

Organization is your middle name.

You are highly organized with strong attention to detail. Must be comfortable managing multiple projects at once in a fast-paced environment.

Strong communication skills.

Clear, professional communication is a MUST. Both written and verbal with a client service mindset. Project success starts and ends with clear communication.

COMPENSATION:

Salary

$55,000-$70,000 (Based on experience)

Hours

40–45 hours per week on average. Some flexibility required based on production schedules and client needs.
