Job description

The Director of Operations II is responsible for supervision, coordination, and direction of the Operations Managers and personnel directly reporting to their management assignment. Responsible for serving as a provider liaison between the departments and other clinical and administrative departments within the organization preparing short and long range goals in conjunction with the physicians, advanced practitioners, administration and medical practice team, and the completion of the Clinic's initiative with regard to maintaining a successful business operation under their assigned area of management. The Operations Director II has a span of control of >175 FTEs and a provider count of >70.

Principal Responsibilities

  • Anticipate emerging trends and evaluate impact of trends on current and proposed future services.
  • Promote and incorporate team relationships to support seamless delivery of care.
  • Increase the influence of Springfield Clinic within the regional market by developing collegial relationships with local, regional and national programs and providers associated with the service lines within the division of charge, including focus on partnerships, competition, and strategy.
  • Engage physicians in monthly/quarterly/annual practice performance feedback and make recommendations for improved efficiencies.
  • Further manage revenue and expenses for the service line to achieve agreed upon annual financial goals.
  • Research, develop and incorporate new sources of revenue to maximize current and potential revenue streams through management of various components of the revenue cycle.
  • Develop and/or update annually the operational plan and budget for each department of responsibility and accept accountability for the implementation of defined actions outlined in the operational plan.  Work with physicians and advance practitioners to define goals and objectives supporting pursuit of best practices and incorporate these into the plan for actionable items.  Planning efforts include short and long range objectives supporting clinical and management operations of the practice.
  • In collaboration with the Marketing and Communications Director prepare proposed marketing and public relations strategies to achieve program objectives.
  • Utilize Marketing and specialty analysis for services in relation to regional development.
  • Serve as a communication conduit to various Springfield Clinic departments, administration, and outside agencies always professionally representing assigned areas of responsibility and the organization.  Demonstrate effective leadership skills as well as diplomacy, tact, communication skills and flexibility.
  • Responsible for collaboration with department chairs and administration on department meeting agendas, completion and distribution of meeting minutes.  Includes responsibility to ensure follow up to meeting action items and retreat planning items.
  • Responsible for providing leadership in the areas of provider and clinical department workflow and data analysis in order to drive improved performance, variation reduction and cost containment.
  • Demonstrate skills in problem solving, decision making and analyzing information to support improved practice operations for assigned departments.  Make facility, equipment, process improvement, capital budget and FTE recommendations based upon analysis.
  • Ensure compliance with accreditation organizations, compile statistics for administrative and regulatory purposes.
  • Ensure a positive and productive work environment and establish performance expectations for staff.  Anticipate the need for change and manage the process for change.
  • Serve as a coach and mentor to assigned Operations and/or Clinical Managers and lead by example.  Understand the roles and responsibilities of each medical practice team member in order to effectively serve in this leadership role.
  • Implement and ensure quality and patient safety initiatives and service excellence standards for all assigned areas of responsibility.
  • Prepare and lead management meetings (at least monthly) to assure appropriate communications to all management personnel.  Optimize use of other tools and resources to ensure effective communication with assigned areas of responsibility.
  • Complete performance evaluations and perform disciplinary actions in accordance with Clinic policy.  Assist Office and Clinical managers in all HR functions of assigned practices.
  • Offer guidance to managers in the development of department specific policy and procedure.
  • Comply with the Springfield Clinic incident reporting policy and procedures.
  • Adhere to all OSHA and Springfield Clinic training & accomplishments as required per policy.
  • Provide excellent customer service and adhere to SC Way customer service philosophy.
  • Perform other job duties as assigned.

Education/Experience

  • Bachelor's degree required.  Master's or advanced degree in healthcare administration or healthcare related field preferred.
  • Experience with clinical and non-clinical support staff.
  • Five to ten (5-10) years' experience in medical senior management, hospital, physician practice or managed care organization with specific experience related to the service lines associated with the division seeking a director.  
  • Experience with process improvement preferred.

  • Ability to gain and keep confidence of physicians and staff.
  • Ability to articulate vision and communicate with physicians and other healthcare professionals regarding matters related to their practice environment.
  • Experience with clinical and non-clinical support staff.
  • Strong knowledge and ability to use Microsoft Office products, business management resources and tools.
  • Proactive decision maker with the ability to work with little or no supervision of direction.
  • Strong verbal and written communication skills.
  • Strong analytical abilities.
  • Able to be an effective team member in a collaborative management environment.
