Job description

SUMMARY

Under the leadership of the Director of Operations, the Assistant Director of Operations is responsible for the daily activities required to execute, maintain, and service the facility and/or the events by performing the following:

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Directs, supervises, and schedules the Event Set-Up Services portion of the Department.
  • Partners with Operations Managers in executing duties.
  • Coordinates the Operations activities with other departments and event-related contractors to assure facility readiness and smooth operation of events.
  • Oversees and reinforces department protocols for equipment storage and cleanliness of the Pennsylvania Convention Center.
  • Implements and updates facility rules, regulations, department policies, and procedures.
  • Provides clear, concise, and timely communication to General Foreman and Foreman as well as other departments.
  • Ensures that the Operations Department receives pertinent information for the most effective use of the facility and staffing.
  • Oversees maintenance of Set Up equipment and housekeeping machines.
  • Assists the Director of Operations in the preparation of the Annual Operating Budget and recommends a capital budget for 1-year and 5-year long-range repairs and improvements to the facility.
  • Assists the Director of Operations with monthly re-forecasting and hours allocations of events.
  • Authorizes the requisition of equipment and supplies within budget guidelines provided by the Director of Operations and the Finance Department.
  • Assists in the yearly inventory of all Housekeeping and Set Up equipment and provides updated records for Auditing purposes.
  • Has knowledge and can enforce all laws, codes, ordinances, policies, procedures, risk management, safety precautions, rules/regulations, and emergency procedures..
  • Assists the Director of Operations in developing Fire/Life Safety, Emergency, and OSHA Procedure training programs.
  • Investigates, analyzes, and resolves operational problems and complaints. Conducts periodic staff meetings to discuss and reinforce procedures, solve problems, and provide policy changes when necessary.
  • Assists the Director of Operations in the preparation and negotiation of Service Agreements. Reviews contracts for compliance with events and /or government specifications and suitability for occupancy.
  • Assists the Director of Operations in negotiations with vendors, unions, contractors and/or service providers.
  • Oversee preventive maintenance contracts, monitor preventive maintenance schedules and implement preventive maintenance programs where needed. Ensure emergency safety and risk management policies are in compliance with all corporate and governmental regulations.
  • Assist the Operations and Facilities Directors in the implementation of all energy-saving guidelines.
  • Assist with the coordination of special projects, such as construction, remodeling, or expansion. Plans and directs outside vendors/contractors' work to assure compliance with contracts and safety requirements.

SUPERVISORY RESPONSIBILITIES

The Assistant Director of Operations manages a team and provides supervision in the Changeover, Housekeeping, and Operations Departments. Is responsible for the overall direction, coordination, and evaluation of these units; Carries out supervisory responsibilities in accordance with Legends policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding; disciplining employees in conjunction with Human Resources; addressing complaints and resolving problems.

EDUCATION AND EXPERIENCE

  • Bachelor's Degree from technical college with major in Management or Maintenance Engineering; Additional experience may be substituted for education
  • Minimum of 2 years' experience in Supervising or Managing in a similar facility
  • Supervisory experience required
  • Requires ability to work flexible and extended hours, including nights, weekends and holidays, in addition to normal business hours
KNOWLEDGE, SKILLS AND ABILITIES
  • Excellent organizational skills
  • Ability to prioritize and to handle multiple projects simultaneously with minor supervision
  • Good written, verbal and interpersonal skills required; ability to interact with all levels of staff including management
  • Ability to effectively supervise staff
  • Professional presentation, appearance and work ethic
  • Ability to work with limited supervision and as a team member
COMPUTER KNOWLEDGE

To perform this job successfully, an individual should have working knowledge of event booking and scheduling software, spreadsheet software and word processing software and be proficient in Microsoft Word, Excel, and PowerPoint.

Irregular hours may be required. The Pennsylvania Convention Center is a 24-hour operation.
