SUMMARY

TheRecreation Coordinatorwillassisttherecreationleadership team with the booking, coordination, & administrative support in relation to allbicycle & golf cart rentals. This role will contribute to the organization as an active business partner thatis responsible forsupporting the company's goals,objectives, vision, mission, and values.

ESSENTIAL FUNCTIONS

Major areas of responsibility/ management include, but are not limited to:

  • Answering incoming calls about future bookings andreserveaccordinglyinour rental system.

  • Monitoring voicemails and returning any calls/inquiries/pending booking requests

  • Responding to and referencing email bookingson a daily basisand communicating with all parties involved the confirmation of these bookings

  • Answering incoming callsregardingbilling and/or rental questions/concerns, andrelaying theappropriate informationto all parties involved to follow through and resolve the issue, or refer to theappropriate manager.

  • Work closely with all departments involved in the booking process such as sales, front desk, experience planners, hotel concierge,memberconcierge, third party booking parties, administrative offices, etc. to communicate upcoming bookings and ensure the items are reserved and payments are properly processed.

  • Correctly billing, gathering, and processing payments for a variety of different guests and accommodations in our payment system.

  • Print daily reports for deliveries andpick ups, write out all tags for bicycles, and input all corresponding data into the system by close of business

  • Manage inventory in booking system and process dailyno showfees, late fees, and pick-up fees

  • Create a welcoming environment for guests and associates

  • Receive initial inquiries, provide preliminary outlet information, forward to manager for appointments or follow-up

  • Training new hires on the booking system to ensure consistent use and proper facilitation to avoid service failures and discrepancies

QUALIFICATIONS

  • High school or equivalent educationrequired

  • Minimum 2years experiencein an administrative assistant orreservationsrole

  • Minimum 2-3 years of customer service experience in a hotel, events, reservations, or restaurant environment

  • Clear and concise communication skills

  • Working knowledge ofrental/booking processes

  • Possess basic math skills andhave the ability toaccurately handle billing

  • Ability to communicate clearly and speak, read,writeand understand English eloquently

  • Knowledge of hotel, recreation, or bicycle shopoperations

  • Outstanding customer service skills & ability to find creative solutions, express critical thinking skills, and solve complex problems

  • Advanced skills in Word, Excel,Publisher,PowerPoint, and Outlook; daily use ofnearly allprograms will occur

PREFERREDQUALIFICATIONS

  • Luxury hotel experience strongly preferred

  • Bachelor's Degree or 4+ years in a leadership role

PHYSICAL REQUIREMENTS

Must be able to bend, stoop,squatand stretch to fulfill cleaning and filing tasks. Must be able to exert well-paced ability in limited space.Must be able to lift up to 15 lbs. on a regular and continuing basis.Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing,listeningand hearing ability and visual acuity. Talking and hearing occur continuouslyin the process of communicatingwith guests,supervisorsand other employees. Vision occurs continuously with the most common visual functions being those of near vision and depth perception. Requires manual dexterity to use andoperateall necessary equipment. Must have finger dexterity to be able tooperateoffice equipment such as computers, printers, multi-line touch tone phone, filing cabinets, FAX machines, photocopiers,dollyand other office equipment as needed.
