Order Management & Logistics Coordinator

Palm Beach County, FL  |  Employer: SoundExtreme, Inc. (Houston, TX)  |  Full-Time

About the Role

We're looking for a detail-oriented Order Management & Logistics Coordinator to own the order lifecycle from receipt through invoicing. This is a work-from-home position, with regular check-ins and collaboration via Microsoft Teams. You'll receive orders via email and EDI, work closely with the sales team to determine fulfillment timing based on inventory availability, manage changes as they arise, and coordinate shipment execution with our warehouse and carrier partners. This role sits at the intersection of order management, EDI integration, and logistics — you'll be the connective tissue between sales, inventory, and fulfillment.

•     Strong interpersonal and written communication skills

Key Responsibilities

Order Intake & Management

•     Receive and process incoming orders via email and EDI

•     Review each order against sales input and current inventory availability to determine fulfillment timing; verify pricing accuracy on each order (does not set or adjust pricing)

•     Manage order changes throughout the fulfillment cycle, coordinating updates with sales, warehouse, and customers as needed

•     Maintain order accuracy across in-house data management systems (QuickBooks/QBE, EDI, CIN7, etc.)

EDI & Systems

•     Manage EDI order flow, ensuring accurate transmission and receipt of order data

•     Utilize inventory and order management systems to track stock levels and support fulfillment decisions

•     Flag and resolve EDI or system discrepancies as they arise

Fulfillment Coordination

•     Manage product details (dimensions, weights) to plan shipments

•     Provide shipment instructions to the warehouse fulfillment center for packaging, staging, and loading

•     Use small package (UPS, FedEx) and freight (LTL/FTL) accounts to schedule and ship domestic customer orders

•     Create shipping labels and required shipment documentation

•     Ensure all incoming and outgoing shipments are accurate, documented, and properly recorded

Invoicing & Account Management

•     Invoice completed orders accurately and in a timely manner, verifying correct pricing prior to invoicing

•     Flag any pricing discrepancies to sales/management for resolution

•     Manage customer accounts related to order status, billing, and fulfillment

•     Track key performance indicators (KPIs) and service level agreements (SLAs) relevant to order and fulfillment performance

Collaboration

•     Maintain professional communication with customers, carriers, colleagues, management, and 3PLs via email, text, phone, and Microsoft Teams

•     Participate in regular Microsoft Teams meetings with sales, warehouse, and management

•     Collaborate with sales and warehouse teams remotely to meet daily operational goals

•     Maintain an organized, efficient remote workspace

Experience & Qualifications

•     2+ years of previous experience in order fulfillment and order management required

•     Previous experience with EDI order flow preferred, with a strong willingness to learn if not already familiar

•     Previous experience using small package (UPS/FedEx) and LTL/FTL freight services

•     Working knowledge of invoicing/billing processes

•     Computer proficiency, particularly Excel and Microsoft Office Suite

•     Working knowledge of QuickBooks preferred

•     Working knowledge of ERP systems such as CIN7 a plus but not required

•     Ability to work in a fast-paced environment with strong attention to detail

•     Must be available to work core business hours, 9:00 AM – 5:00 PM Eastern Time

•     Company-provided computer equipment furnished for this role
