Overview

Supervises the activities of materials services employees on assigned shift, to ensure quality service. Operates in accordance with the department service level agreement in the distribution and recovery of medical and non-medical supplies, equipment, samples, and services utilized in the delivery of direct and non-direct patient care. Under the direction of the Senior Logistics Manager, materials management is accountable for the 24 hour a day smooth efficient operation of patient transport, where applicable, throughout the hospital. This position is also responsible for the maintenance management of the equipment through R.F.I.D. System maintaining power levels of equipment and related supplies and functions necessary to support the patient care units. Responsible for the transport and Courier staffing, where applicable, schedule PTO management workflow process improvement monitoring cost control customer satisfaction collaboration and communication. Supervises the overall operations of the Distribution, Inventory, Courier, and Mail Processing Functions of Materials Management Including the Warehouse, Receiving, and Mail Room Functions, where applicable, at the hospital and off -site warehouse. Manages And Trains Stockroom, Distribution, Mail Room, and Courier Staff.

Responsibilities
  • 1. Executes supervisory responsibilities over assigned staff.
    • 1.1 Establishes and issues schedules which reflect the appropriate utilization for routine distribution, and on-demand distribution consistent with overall hospital needs.
  • 2. Customer and Patient Service responsibilities
    • 2.1 Ensures all staff our maintaining and always excelling at customer service in striving for excellence in patient care at YNHH.
  • 3. Ensures adequate supplies of equipment are maintained to meet patient flow requirements.
    • 3.1 Monitors BMD and ensures bed inventory is maintained and distributed to patient care units as needed.
  • 4. Equipment acquisition, inventory, and recovery.
    • 4.1 Monitors the INFOR materials system to track status of equipment purchase orders.
  • 5. Maintenance of Environment of Care.
    • 5.1 Ensures all materials areas are operating in accordance with regulatory standards for workplace safety. (OSHA, DPH, JCAHO, CMS etc.).
  • 6. Utilizes Materials Management System and other information systems as necessary.
    • 6.1 Utilizes Hospital Materials and HR system, to process requisitions and workflow for materials, Finance and HR operations.
  • 7. Performs other assignments as needed. Maintain all proper inspections on department vehicles.
    • 7.1 Perform monthly safety audits and correct any issues in identified.
  • 8. Responsible for the preparation of stock orders based on Inventory usage, and communication of requirements to purchasing.
  • 9. Oversees The Conducting Of Physical Inventories In The Warehouse And Stockroom.
  • 10. Develops And Maintains All Staffing Schedules For The Warehouse, Stockroom, Distribution, Courier And Mailroom Personnel.
  • 11. Prepares And Justifies Annual Staff And Supply Budgets For The Warehouse, Storeroom, Distribution And Mailroom.
  • 12. Meets Performance Expectations For Customer Service, Teamwork, Resource Utilization And Staff And Self Development As Outlined In Performance Review.
  • 13. Performs Other Duties As Assigned Or Directed To Ensure Smooth Operation Of The Department/Unit.

EDUCATION

High school diploma or GED is required; bachelor?s degree in business administration or related management discipline is preferred. Bachelor?s degree preferred or equivalent supervisory experience in healthcare services or related field.

EXPERIENCE

Two to three years of experience related experience in materials management or service-oriented department. Strong exposure to customer relations and service excellence. Demonstrated success in functioning as a team in overseeing a diverse workforce in a fast-paced service environment preferred. Prior Manager/Supervisor Experience Preferred; Prior Computer Experience Is Also Required. Demonstrated ability to oversee a diverse workforce in a 24 hour per per day operational environment. Demonstrated ability to manage multiple priorities. Excellent communication skills knowledge and proficient operation and use of a computer based information system. Demonstrated ability to implement and support change required.

LICENSURE

Must have a current driver's license and an acceptable driving record.

SPECIAL SKILLS

Demonstrated leadership abilities. Ability to work well with many disparate departments. Ability to learn Materials Management equipment System quickly. Intermediate level end user skills utilizing Microsoft suite of applications (Word, Excel, Powerpoint) as well as a demonstrated ability to learn and utilize web based data management applications.
