About the Job
General Summary of Position
Under general supervision serves as Supply Chain Inventory Manager for Cardiovascular Operating Rooms (CVOR). The Inventory Manager, CVOR, manages the area inventory management system purchases and consigns supplies equipment (non-capital) and high-dollar implant inventories ensuring availability for physicians'/surgeons' prior to and during surgery. Manages vendor relationships.Manages tracks and reports on inventory operations processes and activities. Serves as representative on Value Analysis Committee.
Primary Duties and Responsibilities
  • Manages and maintains the inventory management software system for procedural areas. Reviews and approves requisitions for special-ordered supplies and equipment. Informs efforts in collaboration with the Department and Materials Management to streamline product purchasing and use and achieve optimal pricing.
  • Supports sterile procedures and equipment management by opening sterile items ensuring equipment and supplies are properly functioning and available cleaning and/or disposing of equipment and picking up instruments from SPD or performing Rapid Turnovers as needed.
  • Manages and controls inventory including ordering supplies and equipment (non-capital) tracking and verifying shipments maintaining accurate counts monitoring and reconciling usage and managing optimal par levels rotation and expired product. Manages inventory storage and recommends and implements enhancements to improve usability and workflow as needed. Maintains and tracks all equipment warranties and service contracts. Initiates the process for new equipment acquisition; coordinates product trials; and documents and reports results and operator feedback.
  • Prepares and maintains the operating room before during and after surgical procedures including room setup and turnover retrieving medications and case carts ensuring supplies are available and assisting staff with positioning devices equipment and blood/blood product transport.
  • Maintains a high level of knowledge about specialty instrumentation and medical/surgical supplies.
  • Researches and resolves inventory variances; identifies workflow issues and recommends actions to improve accuracy and efficiency. Reviews invoices receiving reports department reports and other documents to assist in the resolution of discrepancies for Supply Chain Management (SCM) and other facility departments. Develops summary information for management review.
  • Works with Enterprise Resource Planning (ERP) to ensure all inventory is entered into the ERP database including accurate entry of Charge Description Master (CDM) patient charge code(s) if applicable. Oversees patient billing for supplies working with the interface team and Revenue to ensure accuracy.
  • Manages product safety recall and failed medical devices processes in accordance with hospital policy and maintains a database for tracking and reporting.
  • Oversees vendor relationships pertaining to all consigned inventories; monitors expiration dates and returns low usage products. Monitors vendor access to procedural areas.
  • Serves as representative to the hospital's Value Analysis Committee for assigned CVOR.
  • Performs other duties and responsibilities that are appropriate to the position and area. The above responsibilities are a general description of the level and nature of the work assigned to this classification and are not intended to be all-inclusive. Performs other duties as assigned.

Minimal Qualifications
Education
  • Bachelor's degree Business Administration or Healthcare Administration preferred

Experience
  • 5-7 years Progressive experience in healthcare in a surgical setting; office management budgeting professional and facility billing inventory management vendor negotiations and variance reporting experience. required
  • One year of relevant professional-level work experience may be substituted for one year of required education.

Knowledge Skills and Abilities
  • Advanced knowledge of materials management inventory control purchasing contracting and vendor management.
  • Knowledge of ERP systems vendor management systems Point of Use systems or other software implant tracking systems.
  • Knowledge of the principles and techniques of asset management.
  • Strong knowledge of and experience with inventory management systems applications and/or databases.
  • Strong knowledge of and experience with Microsoft Word Excel Access and PowerPoint
  • Strong knowledge of procedural supplies and equipment.
  • Critical thinking skills.
  • Ability to communicate effectively orally and in writing and to work collaboratively with a variety of hospital staff (i.e. management staff and physicians).
  • Ability to build and maintain professional and effective working relationships with vendors and their representatives.
  • Ability to function effectively in a fast-paced environment.
