Job description

Office Manager, Parts Distribution Center

The Office Manager, Parts Distribution Center is responsible for leading the administrative, coordination, reporting, and office support functions that enable a large-scale parts distribution center to operate efficiently, accurately, and in compliance with company standards. This role partners closely with operations, logistics, finance, safety, and customer support teams to ensure timely communication, accurate documentation, effective issue resolution, and consistent execution of distribution center processes.

Key Responsibilities:

  • Lead the day-to-day administrative and office support functions for a large parts distribution center, ensuring smooth coordination across receiving, inventory, shipping, returns, transportation, customer service, and site leadership teams.
  • Ensure work is prioritized, completed accurately, and aligned with operational needs.
  • Serve as a key point of contact for internal partners, carriers, customers, and vendors regarding order status, documentation, delivery issues, freight activity, and operational follow-up.
  • Support SAP, WMS, EDI, reporting, and other business systems used to manage orders, shipments, inventory records, freight documentation, and distribution center performance metrics.
  • Coordinate shipping, receiving, freight tendering, claims, carrier communication, and issue resolution related to damaged goods, shortages, shipping errors, service failures, and customer escalations.
  • Maintain accurate records for orders, deliveries, inventory activity, transportation documentation, audits, and other distribution center requirements.
  • Partner with distribution center leadership to support shift and site communications.
  • Support financial and operational controls, including SOX-related warehouse controls, purchasing approvals, office supply management, budget tracking, invoice review, and reporting requirements.
  • Prepare and distribute reports, dashboards, maintenance logs, operational metrics, customer service updates, and leadership communications that support timely decision-making.
  • Identify opportunities to simplify administrative processes, improve communication flow, reduce rework, strengthen documentation accuracy, and improve overall service to internal and external customers.
  • Promote a professional, organized, customer-focused, and safety-conscious office environment that supports the needs of a fast-paced, high-volume parts distribution operation.
What We Are Looking For

Experience and Qualifications:

  • Bachelor's degree in business administration, supply chain, logistics, operations management, or a related field preferred; equivalent combination of education and relevant experience will be considered.
  • Minimum of 8 years of related administrative, operations support, logistics, distribution, customer service, or office management experience, preferably in a large distribution center, warehouse, service parts, or manufacturing environment.
  • Demonstrated ability to lead, prioritize, develop, and hold accountable an administrative or operations support team in a fast-paced environment.
  • Strong understanding of distribution center processes, including receiving, inventory control, order fulfillment, shipping, freight coordination, returns, exception handling, and customer service support.
  • Experience using SAP, WMS, ERP, EDI, Microsoft Office, and reporting tools to manage records, analyze information, track performance, and support operational execution.
  • Strong organizational skills with the ability to manage multiple priorities, meet deadlines, maintain accurate documentation, and follow through on issues from start to finish.
  • Excellent verbal and written communication skills, with the ability to coordinate effectively across operations, logistics, finance, safety, customer service, vendors, carriers, and leadership.
  • Knowledge of compliance, audit, and internal control requirements within a distribution, warehouse, or logistics environment.
  • Ability to analyze problems, identify root causes, resolve issues quickly, and escalate matters appropriately when business risk, service impact, or compliance concerns arise.
  • Strong customer service mindset with a focus on responsiveness, accuracy, professionalism, and continuous improvement.
  • Proficiency in Microsoft Excel, Word, PowerPoint, Outlook, and standard office equipment required.

Physical Requirements:

  • Ability to work on-site in a large parts distribution center and move throughout office, warehouse, receiving, shipping, dock, returns, inventory, and common work areas as needed.
  • Ability to sit, stand, walk, bend, and use a computer, business systems, reporting tools, and standard office equipment for extended periods.
  • Ability to occasionally lift or move office supplies, files, small packages, or materials up to 25 pounds.
  • May require use of personal protective equipment and work near powered industrial equipment in designated distribution center areas.
  • Ability to support operational issue resolution, audits, inspections, training coordination, and documentation reviews across multiple areas of the distribution center.

Preferred:

  • Experience supporting HVAC, aftermarket parts, service parts, industrial supplies, or other high-SKU parts distribution operations.
  • Experience supporting a large, multi-shift distribution center, start-up operation, network transition, or WMS-enabled environment.
  • Experience with SAP, warehouse management systems, freight systems, customer service tools, reporting dashboards, and high-volume transactional processes.
  • Experience supporting SOX controls, safety administration, audit preparation, process documentation, budget tracking, and cross-functional communication.
  • Lean, Six Sigma, continuous improvement, project coordination, or similar training preferred.
What We Offer

Compensation: This is a salaried exempt role. The starting salary range for this role and market is between $79K - $104K annually. Factors that may affect starting salary include geography/market and the skills, education, experience, and other qualifications of the successful candidate. Employees in this role are also eligible for an annual bonus in accordance with the terms of the Company's applicable plan. Employees in this role are not eligible for overtime.

Benefits: Subject to applicable eligibility requirements, the following benefits are offered for this role: tuition reimbursement; medical, dental, and vision insurance; prescription drug coverage; 401(k) retirement plan; short-term disability insurance; 8 weeks paid birthing leave; 2 weeks paid bonding leave; life and long-term disability insurance.

Depending on date of hire, and subject to applicable eligibility requirements, new employees in this role also receive up to: 12 days paid time off, 2 paid well-being days, 1 paid volunteer day, 12 paid holidays, and 3 floating holidays per year.
