The Opportunity
We are seeking an organized, proactive and highly dependable Office Manager to oversee the daily operations of the company's Palm Beach Gardens office.
This is a highly visible, hands-on position that serves as the central point of contact for employees, visitors, vendors and office-related needs. The Office Manager will help create a welcoming, organized and professional workplace while coordinating facilities, employee onboarding, company events, travel, purchasing and administrative activities.
The right person will take ownership of the office, anticipate needs before they become problems and enjoy supporting a growing organization where no two days are exactly the same.
Key Responsibilities
Office Operations
  • Oversee the day-to-day operation of the Palm Beach Gardens office
  • Serve as the primary point of contact for employees, visitors, delivery personnel and vendors
  • Maintain a professional, welcoming and well-organized office environment
  • Manage office supplies, pantry inventory, mail, packages and common areas
  • Coordinate internal office communications and administrative updates
  • Provide administrative support to company leadership as needed
  • Assist with invoice processing, expense tracking and office-related documentation
Events and Trade Shows
  • Help plan and coordinate trade shows, conferences, employee events and company meetings
  • Manage registrations, travel arrangements, shipping, supplies and event materials
  • Coordinate with venues, vendors, exhibitors and internal participants
  • Maintain event inventory and ensure materials arrive at the appropriate location on schedule
  • Track event budgets, receipts and related expenses
  • Assist with occasional on-site event support
Employee Onboarding and Workplace Experience
  • Coordinate the office-related portions of the new-hire onboarding process
  • Prepare workspaces, welcome materials, building access and introductory information
  • Organize office tours and help new employees become comfortable in the workplace
  • Coordinate equipment shipments and welcome materials for remote employees
  • Plan employee appreciation activities, team lunches, celebrations and morale-building events
  • Help create a workplace where employees feel supported, informed and appreciated
Facilities and Vendor Management
  • Coordinate office maintenance, cleaning, repairs and workplace improvement projects
  • Manage relationships with office vendors and service providers
  • Coordinate building access, security credentials and facility-related requests
  • Communicate office closures, maintenance work and other facility updates to employees
  • Support office expansion, workspace changes and special projects as the company grows
  • Identify office issues early and take ownership of getting them resolved
Travel, Purchasing and Shipping
  • Arrange employee travel, including flights, hotels and rental cars
  • Coordinate office purchasing and maintain accurate records of spending
  • Manage employee gifts, branded merchandise and uniform orders
  • Prepare and coordinate outbound shipments
  • Track office assets, supplies, event materials and other inventory
  • Run occasional local errands related to office operations or company events
Qualifications
  • At least three years of experience in office management, workplace operations, administration, hospitality, event coordination or a related position
  • Strong organizational skills with the ability to manage several priorities at once
  • Excellent written and verbal communication skills
  • Experience working with vendors, facilities, purchasing and office-related projects
  • Confidence coordinating events, travel or employee activities
  • Proficiency with Microsoft 365, including Outlook, Word, Excel and Teams
  • Professional, dependable and comfortable interacting with employees at every level of the organization
  • Strong customer-service instincts and a genuine interest in helping others
  • Ability to work independently, take ownership and follow responsibilities through to completion
  • Ability to lift packages or materials weighing up to 30 pounds
  • Valid driver's license and ability to complete occasional local errands
Experience in hospitality, front-desk operations, event planning, employee onboarding or a growing professional-services organization would be especially valuable.
