Job description

Job Summary This position is responsible for developing, coordinating, and executing both volunteer engagement and sales sponsorship initiatives to support the festivals, events, and assets of the Grapevine Convention & Visitors Bureau (CVB). Essential Functions 1. Develops, implements, and manages sponsorship and volunteer programs to support Grapevine CVB festivals, events, and attractions, including Main Street Fest, GrapeFest, Christmas Capital of Texas, North Pole Express, Nash Farm events, and other CVB-produced activities.

2. Identifies, solicits, and secures corporate cash and in-kind sponsorships to meet established annual goals, while maintaining and growing long-term sponsor relationships. 3.

Plans and executes sponsorship sales and marketing strategies through direct outreach, presentations, written proposals, and in-person meetings. Develops sponsorship packets, sales materials, and presentations for festivals, events, and CVB assets. 4.

Collaborates with Festivals and Events Leadership to develop and produce volunteer and sponsor activities and events throughout the year along with a monthly newsletter. 5. Recruits, organizes, schedules, and trains volunteers to support all CVB events and Heritage attractions; develops volunteer position descriptions, orientation materials, and training programs.

6. Engages individuals, civic and service groups, corporations, and community organizations to recruit and retain volunteers; promotes volunteerism through presentations and outreach to local and regional partners. 7.

Coordinates and communicates sponsor and volunteer logistics with the Festivals and Events team to ensure fulfillment of benefits, on-site requirements, and event staffing needs during setup, event hours, and tear down. 8. Maintains accurate and updated reports and databases for sponsors, prospects, volunteers, vendors, and community partners; provides weekly, monthly, and quarterly reports on sales, sponsorship activity, and volunteer participation.

9. Works collaboratively with internal teams-including Marketing and Communications, Sales, and Festivals and Events-to ensure consistent messaging, accurate event information, and the successful delivery of sponsorship and volunteer initiatives. 10.

Develops and manages event and sponsorship budgets; monitors expenses and operates within established guidelines. 11. Represents the CVB at civic, service, and community meetings to promote sponsorship and volunteer opportunities, foster relationships, and enhance community engagement.

12. Ensures timely and professional communication with sponsors, partners, and volunteers; provides high-quality customer service before, during, and after each event. 13.

Performs related duties as assigned when such duties are a logical and appropriate assignment to the position. 14. Regular and timely attendance are required for this position.

15. Interacts professionally and respectfully with the public, coworkers, and others in the course of daily work. Required Skills SKILLS, KNOWLEDGE AND ABILITIES Must have exceptional verbal and written communication skills, including strong public speaking and presentation abilities.

Must have knowledge of sales and marketing principles and practices, including sponsorship development and relationship management. Must have demonstrated knowledge of event production, programming, logistics, and operational planning. Must be self-reliant, results-oriented, and highly organized with strong problem-solving skills and attention to detail.

Must have demonstrated ability to manage multiple projects and deadlines in a fast-paced environment. Must have strong financial and budget management skills. Must be proficient in Microsoft Word and Excel, and skilled in the use of computers, databases, and CRM/CMS platforms for data entry, recordkeeping, and reporting.

Must have demonstrated ability to use and coordinate social media and digital marketing content to support sponsorship and volunteer engagement efforts. Must have excellent interpersonal skills and the ability to work effectively with staff, sponsors, volunteers, vendors, and the public in a professional and tactful manner. Must have the ability to lead, motivate, and coordinate large groups of volunteers and event staff.

Must have strong organizational skills and the ability to see projects through from planning to completion. Must possess knowledge of office and business procedures, City policies and regulations, and applicable health and alcohol laws. Audio/Visual skills preferred.

Must be willing and able to work irregular hours, including nights, weekends, and holidays, and to physically assist with event setup and teardown as needed. Must be able to perform outdoor event duties, including prolonged standing and walking during festivals and special events. EDUCATION, EXPERIENCE AND OTHER REQUIREMENTS Requires a Bachelors degree plus three years of sales experience with sponsorship and/or advertising sales and marketing or an equivalent combination of education, training, and/or experience that provides the required knowledge, skills, and abilities to perform the essential functions of the job.

Ability to organize and coordinate sponsor contracted requirements with festivals and events, enforce policies and procedures and make mature judgements. Flexibility and overnight travel required. Must pass a credit check and Federal/National criminal background check.

Must have a valid Texas driver's license with an acceptable driving record as defined by City policy. Must pass a pre-employment drug screen. WORKING CONDITIONS While performing the essential functions of this position the employee is rarely exposed to disagreeable environmental factors.
